Job summary

Carahsoft’s OpenAI team is seeking an experienced Webinar Program Manager to run end-to-end operations and technical production for a growing virtual-event program serving government audiences.

The role owns webinars from intake through post-event reporting, coordinating scheduling, registrations, speaker prep, live production, recordings, surveys, and performance reporting, with emphasis on calm, professional execution during live events.

Qualifications

• Three or more years of experience producing webinars, livestreams, or virtual conferences.
• Experience managing live technical production and real-time troubleshooting.
• Experience with Restream and Gradual, or quick learner of similar platforms.
• Strong program- and project-management skills including intake, scheduling, stakeholder coordination, documentation, and follow-through.

Job description

Carahsoft’s OpenAI team is seeking an experienced Webinar Program Manager to manage the end-to-end operations and technical production of a growing virtual-event program. This program serves government and public-sector audiences for 5+ webinars per week with large scale virtual audiences.

This person will own each webinar from intake through post-event reporting and actions. Responsibilities include scheduling, Gradual or other web-platform configuration, registration operations, speaker preparation, Restream production, attendee support, recordings, replay publication, surveys, and performance reporting.

The Webinar Program Manager will work closely with OpenAI presenters and program leads, Carahsoft teams, platform providers, and other partners. OpenAI subject-matter experts will own program content and presentations; the Webinar Program Manager will ensure every event is prepared, professionally produced, and repeatable at scale.

This is a hands-on production role. The person must be comfortable independently operating live events, managing multiple workstreams, enforcing production deadlines, and troubleshooting calmly in real time.

Ideal candidate will be an advanced user of OpenAI products like ChatGPT and Codex.

Required qualifications

• Three or more years of experience producing webinars, livestreams, virtual conferences, or comparable digital events.
• Demonstrated experience independently managing live technical production and real-time troubleshooting.
• Experience with Restream and Gradual, or substantial experience with comparable platforms and the ability to learn them quickly.
• Strong program- and project-management skills, including intake, scheduling, stakeholder coordination, documentation, and follow-through.
• Experience managing registration workflows, rehearsals, run-of-show documents, recordings, replays, and post-event reporting.
• Ability to manage several events concurrently and support multiple live events per week.
• Excellent written and verbal communication skills.
• Strong attention to detail and a consistent quality-assurance mindset.
• Ability to remain calm, decisive, and professional during live-event disruptions.
• Availability during Eastern Time business hours and scheduled live-event windows.
• Sound judgment when handling sensitive information, credentials, recordings, and attendee data.
• Proactive, strong user of ChatGPT, Codex and always looking for ways that OpenAI tools can be incorporated into creating amazing experiences for our customers.
