Summary:Assists the Wealth Management Department by processing transactions, account applications and resolving customer account issues. The Wealth Operations Specialist provides critical operational and administrative support to the Wealth Management team, with a focus on accuracy, efficiency, and exceptional client service. This role is responsible for processing account transactions, maintaining detailed account records, and assisting with reconciliation and reporting. Working closely with internal teams and clients, the specialist ensures compliance with regulatory standards and supports the smooth execution of day-to-day wealth operations. This position contributes directly to the success of CSB’s Wealth Management services by upholding operational excellence and aligning with the bank’s mission and values. The Specialist serves as the primary operational owner for assigned processes, ensures required documentation and approvals are obtained and retained, monitors outstanding items and exceptions, and maintains reliable backup coverage and current procedures for critical functions.

- Customer & Internal Support
- Responds to operational inquiries from clients, Wealth Management staff, and other departments in a professional and timely manner, ensuring consistent service quality.
- Acts as a point of contact for processing-related account questions
- Coordinates routine follow-up with custodians, transfer agents, contra firms, vendors, and internal partners; maintains status documentation and escalates delays or exceptions.
- Account Administration
- Accurately processes and monitors documentation for new account openings, updates, and closures across wealth platforms.
- Supports asset movements and account maintenance activities, including ownership changes, distributions, and investment transactions.
- Reviews onboarding packages for completeness; performs account setup, OFAC screening, required checklists, coding, record retention, and funding coordination in accordance with established procedures.
- Coordinates account closures, including required checklists, review of residual activity, final transfers or liquidation, final reporting, notifications, and escalation of unresolved items.
- Processes assigned account maintenance, including beneficiary or registration changes, name and address changes, ACH or wire instructions, tax withholding, account coding, restrictions, reversed transactions, and manual price changes, subject to required review and approval.
- Operational Processing
- Initiates and processes incoming and outgoing securities and cash transfers, ensuring adherence to established procedures and compliance with applicable regulations.
- Prepares and submits wire transfer requests related to security settlements and client disbursements.
- Obtains and retains required supporting documentation and independent approvals before processing internal, outgoing, or non-routine asset transfers, and escalates exceptions before completion.
- Performs assigned daily operational activities, which may include ACH processing, daily cash reporting, recurring transactions, mutual fund settlement, sweep activity, daily balancing, clearing-account activity, holdings and price-variance review, check processing, settlement activity, and standard daily reports.
- Supports assigned retirement-plan and tax operations, including payroll deposits, rollovers, distributions, participant loans, recurring distributions, withholding, tax reporting support, and year-end processing.
- File & Data Integrity
- Maintains accurate records and electronic files for wealth accounts; regularly audits for completeness and regulatory compliance.
- Supports timely and accurate preparation and distribution of account statements and other client communications.
- Maintains accurate data, coding, activity records, checklists, approvals, and evidence within approved wealth systems and repositories; follows access, confidentiality, and information-security requirements.
- Supports statement production, quality review, reconciliation, exception research, correction coordination, and documentation of completed review.
- Assists in reconciling departmental checking and suspense accounts, investigating and resolving discrepancies in coordination with the Wealth Operations Manager.
- Supports invoice tracking and fee processing for client accounts under the guidance of the Wealth Operations Manager.
- Prepares assigned daily and monthly reconciliations, researches and clears differences, maintains supporting evidence, ages outstanding items, and escalates unresolved or overdue exceptions.
- Assists with fee calculations, fee recap preparation, invoice processing, fee-schedule testing, fee-deviation documentation, outstanding-fee tracking, billing reconciliation, exception research, and fee reporting.
- Administrative Reporting
- Prepares operational reports, client documentation packets, and audit support materials as requested.
- Aids in report gathering for regulatory exams, audits, and internal committee reviews.
- Generates, validates, files, and assembles recurring reports and supporting materials for TRAC, Trust Committee, management, audits, and examinations; tracks related requests, exceptions, and action items.
- Completes the Operations section of assigned account reviews; monitors outstanding reviews and exceptions; maintains evidence; follows up on due items; and escalates unresolved items in accordance with procedure.
- Process Improvement
- Participates in the identification of opportunities for workflow improvement, system enhancement, and service delivery optimization.
- Leverages internal systems and tools to ensure operational efficiency and data accuracy.
- Maintains assigned procedures, checklists, and work instructions; promptly documents approved process or system changes and identifies control or continuity gaps.
- Collaborates closely with the Wealth Operations Manager and other specialists to ensure alignment on procedures and client service standards.
- Assists in onboarding and training new team members as directed, helping to ensure consistency in best practices.
- Maintains cross-training and effective backup coverage for assigned critical processes and assists with periodic coverage testing.
- Follows all relevant fiduciary, legal, and compliance guidelines in daily tasks and processing.
- Monitors for potential risks in transactions or documentation and escalates concerns appropriately.
- Identifies documentation deficiencies, unusual activity, control exceptions, aged items, and processing errors; promptly escalates concerns and supports corrective-action follow-up.

Education:
A high school diploma or General Education Degree (GED) is required. A minimum of a two-year business-related degree is preferred. A minimum of three years of related work experience; or equivalent combination of education and experience.
