Job summary

Qualifications

Responsibilities

  • Serve as the primary point of contact for homeowners regarding warranty related concerns.
  • Educate homeowners on warranty coverage, maintenance responsibilities, and procedures.
  • Process incoming homeowner warranty claims and evaluate coverage under warranty guidelines.
  • Coordinate and schedule appointments between homeowners, field managers, and subcontractors.
  • Maintain logs of all warranty claims, work orders, service letters, and resolutions.
  • Generate reports on service performance and recurring defect trends.
  • Coordinate final closing packages with title/escrow agents and distribute internally.
  • Assist sales agents with administrative tasks and client communication.
  • Schedule and conduct New Homeowner Orientations prior to or at closing.
  • Educate homeowners on HVAC, plumbing, electrical, appliances, warranty coverage and procedures, and preventative maintenance.
  • Provide walkthroughs of the home and address all questions.
  • Ensure homeowners receive all necessary documentation and warranty information.
  • Create a positive and professional first impression post-sale.

Job description

The Homebuilding Warranty Coordinator is responsible for managing all post-construction warranty requests and ensuring timely resolution of homeowner concerns. This role serves as the primary point of contact for homeowners after closing and plays a key role in delivering a positive customer experience. The Warranty Coordinator also conducts New Homeowner Orientations to educate buyers on home systems, warranty coverage, and maintenance expectations. Ideal candidates should have strong communication skills and excellent time management.

Requirements

ESSENTIAL DUTIES:

  • Serve as the primary point of contact for homeowners regarding warranty related concerns.
  • Educate homeowners on warranty coverage, maintenance responsibilities, and procedures.
  • Process incoming homeowner warranty claims and evaluate whether issues are covered under the builder's workmanship warranty or manufacturer guidelines.
  • Coordinate and schedule appointments between homeowners, field managers, and subcontractors to complete necessary home repairs.
  • Maintain detailed logs of all warranty claims, work orders, service letters, and resolutions.
  • Generate regular reports on service performance and recurring defect trends.
  • Coordinate final closing packages with title/escrow agents and distribute internally.
  • Generate regular status updates and reporting for management and sales teams.
  • Support sales agents with administrative tasks such as correspondence, file maintenance, and client communication.
  • Assist with homeowner communication post-closing for warranty orientation and transition.
  • Schedule and conduct New Homeowner Orientations prior to or at closing.
  • Educate homeowners on HVAC, plumbing, electrical, appliances, warranty coverage and procedures, and preventative maintenance and homeowner responsibilities.
  • Provide walkthroughs of the home and ensure all questions are addressed.
  • Ensure homeowners receive all necessary documentation, manuals, and warranty information.
  • Create a positive and professional first impression post-sale.

EDUCATION:

Associate’s or Bachelor’s degree preferred in related field; or comparable experience.

EXPERIENCE:

2+ years of experience in homebuilding, construction, customer service, or warranty coordination.

SKILLS:

Must have the following skills and/or abilities:

  • Knowledge of residential construction processes and materials.
  • Strong organizational skills, attention to detail and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and warranty management software.
  • Ability to work in a fast-paced environment and manage multiple deadlines.
  • Ability to read blueprints and understand construction terminology preferred.
  • Strong follow through and accountability.
  • Excellent problem solving skills and conflict resolution.
  • Working knowledge of laptop, note pad, or other computer devices used to view agreements, report project status, submit/receive documents, or other related tasks.
  • Working knowledge of general office equipment such as phone system, copier, scanner, and the like.

LICENSES/CERTIFICATIONS:

Must have a current valid driver’s license and a satisfactory driving record.

PHYSICAL REQUIREMENTS:

Must be able to perform the following physical activity on a frequent to constant basis:

  • Sit for long periods of time.
  • Lift 10–20 lbs. of files, plans, office supplies, or similar items.
  • Constantly uses fingers and hands when dialing/answering the telephone and operating a computer or other office machinery, such as a copy machine, scanner, and computer printer.
  • Ability to hear average or normal conversations and receive ordinary information through verbal communications in person or detect objects in and around job site over the telephone.
  • Average, ordinary visual acuity necessary to prepare or inspect documents; operate a computer or other office machinery; or.
  • Walk short distances on slippery, even, and/or uneven surfaces.
  • Stand, bend, stoop, kneel, crouch, twist, turn, or crawl.

WORKING CONDITIONS:

  • Majority of work is performed in an office atmosphere located inside a building with no hazardous or significantly unpleasant conditions.
  • May require infrequent job site visits involve performing work in outdoor weather conditions with exposure to extreme cold, heat, and noise depending upon project site.
  • May travel locally during the workday.
