Job summary

Reading Truck is hiring a Warranty/Service Administrator to review, process, and close warranty claims and assist with departmental functions. The role collaborates with Parts and Service to ensure accurate paperwork and timely payments.

Responsibilities include processing service orders, maintaining system data, handling calls, and supporting training initiatives within a fast-paced environment.

Qualifications

• Two years of warranty experience in automotive, truck or RV industry preferred.
• High School diploma or GED required.
• Proficient computer skills including Excel, Word, and PowerPoint.
• Excellent problem solving skills and ability to identify root cause.

Responsibilities

• Process factory warranty claims efficiently and accurately with authorization prior to work.
• Upload documents for warranty authorization and follow policy procedures.
• Ensure policies are followed by technicians before signing off hours.
• Follow up on warranty receivables to ensure timely payment.
• Communicate with Service Advisors and technicians for diagnosis, authorization and repairs.
• Process and enter all service orders accurately and efficiently.
• Maintain accurate information in the service system for warranty claims and service orders.
• Answer incoming calls from manufacturers and customers in a courteous manner.
• Participate in training as required by management.
• Perform other tasks as needed by supervisor.

How You Will Make an Impact

Under the supervision of the Management, this position is responsible for reviewing, processing and closing warranty claims, as well as assisting with department functions. The Warranty/Service Administrator works very closely with multiple departments including, but not limited to, the Parts and Service Department.

The Nuts and Bolts

• Process factory warranty claims (online or manually) efficiently and accurately by obtaining warranty authorization prior to work beginning
• Upload all necessary documents for warranty authorization and follow any/all procedures as prescribed in the manufacturer's warranty policy and/or procedure manuals
• Ensure all policies and procedures have been followed by technicians prior to processing paperwork or signing off on technician hours applied to warranty claim
• Follow up on all warranty receivables to ensure payment is received in a timely manner
• Communicate with Service Advisors and technicians as needed for diagnosis, authorization and/or repairs
• Process and enter all service orders accurately and efficiently
• Maintain accurate information in the service system by updating changes throughout the day as the changes occur, for both warranty claims and service orders
• Answer incoming telephone calls from manufacturers (warranty claims) and/or customers (service orders), always responding in a courteous and professional manner
• Participate in training as required by management
• Perform any other tasks deemed necessary by supervisor

Required Credentials

• Two (2) years of warranty experience in automotive, truck or RV industry preferred
• High School diploma or GED - required
• Proficient computer skills including Excel, Word, and PowerPoint
• Excellent problem solving skills and the ability to identify root cause
