Job description

Primary Purpose

The Warrants Specialist is responsible for processing, entering, maintaining, validating, recalling, and canceling warrants and capias, as well as ensuring accurate and timely FCIC/NCIC transactions. This position prepares and maintains required validation documentation, confirms the status of wanted individuals, notifies appropriate agencies when warrants are executed, maintains extradition-related files, monitors the receipt of bonds, and performs other duties necessary to support the Warrants and Court Services functions.


Education and Qualification Requirements


  • Minimum: High school graduate or equivalency

  • Valid Florida Driver’s License

  • Basic knowledge of Microsoft Word and Excel

  • Basic knowledge of general office equipment

  • Must be NCIC/FCIC certified or obtain certification within six (6) months of appointment

  • Must be D.A.V.I.D. Certified or obtain certification within six (6) months of appointment


Duties


  • Operate FCIC/NCIC systems in accordance with CJIS, FDLE, and agency policy.

  • Conduct CJIS inquiries and ensure accurate documentation of results.

  • Prepare, maintain, and monitor FCIC/NCIC validation reports and supporting documentation.

  • Maintain control of and follow up on incoming correspondence, reports, warrants, and other official documentation.

  • Conduct routine validation audits and ensure timely compliance with validation standards.

  • Assist with FDLE and FBI audits as required.

  • Attend FDLE, CJIS, and FCIC Region II meetings as assigned.

  • Provide public assistance and respond to inquiries via telephone and other communication methods.

  • Process new warrants and capias, ensuring completeness and accuracy before entry.

  • Enter and process DOR/CSE documentation and related records.

  • Assign new warrants to Patrol Services and ensure proper routing and distribution.

  • Notify appropriate officials and agencies when warrants have been served or executed.

  • Monitor and review FCIC/NCIC entries, cancellations, modifications, and validation reports for accuracy and compliance.

  • Cancel FCIC/NCIC entries when required and ensure proper documentation is maintained.

  • Process and coordinate warrant recalls in accordance with court documentation and agency procedures.

  • Maintain working knowledge of the agency’s organizational structure and chain of command.

  • Scan, file, and maintain electronic and physical records in accordance with retention requirements.

  • Receive and transmit teletype communications and ensure proper routing and documentation.

  • Request holds for subjects transported to the Department of Corrections (DOC).

  • Coordinate extradition requests and arrange pickup of wanted individuals when applicable.

  • Attach FCIC/NCIC entries and cancellation documentation to original warrants and support paperwork.

  • Prepare reports, affidavits, and other required documentation as assigned.

  • Process out-of-county bond notifications and related documentation.

  • Compile data and reports at the request of management.

  • Perform additional duties assigned to support operational needs.

  • Occasionally travel to the courthouse for the daily pickup and delivery of official documentation.

  • Track deported individuals with active court cases and coordinate updates as needed.

  • Process high-volume FCIC/NCIC transactions while maintaining accuracy and compliance.

  • Complete, update, and submit required reports, accreditation documentation, and supporting forms.

  • Prepare and submit daily, weekly, monthly, and annual reports as required.

  • Maintain familiarity with St. Johns County geography and jurisdictional boundaries.

  • Demonstrate situational awareness within and outside the agency environment.

  • Operate an agency vehicle when required.

  • Establish and maintain effective working relationships with agency personnel and external partners.

  • Other duties as assigned.

  • Maintain continuity and operational efficiency by accurate and timely dissemination of information to Staff and co-workers

  • Adhere to leave, overtime and attendance policies/procedures (i.e. arrive promptly, regular attendance at work, notification to supervisor regarding absence from work due to illness or untimely incidents, etc.)
