A leading service and design-build HVACR contractor in the Pittsburgh area is seeking an experienced warehouse/logistics coordinator to join our team.

Job Description
  • The warehouse/logistics coordinator self-performs and/or coordinates activities in the following areas: Warehouse/inventory/deliveries, Fleet management, Purchasing, Tools, equipment, and safety.
Primary Functions
  • Warehouse/Inventory/Deliveries
    • Organizes and operates the warehouse functions and maintains the warehouse presentation in a superior, safe condition at all times.
    • Responsible for staging, shipping and receiving parts, equipment, tools, and supplies.
    • Responsible for inventory control.
    • Enters inventory into software system.
    • May deliver materials and equipment to customer locations or jobsites.
    • Practices safe material handling techniques.
    • Filing of M/S's, freight bills of lading, equipment packing slips, etc. for inventory reconciliation and audit purposes.
    • Responsible for filing of freight claims for damaged goods.
    • Receive all vendor shipments, confirm shipments against receipting tickets and bills of lading for completeness; promptly notify the appropriate project or service manager or service dispatcher of delivery, as appropriate.
    • Return excess or incorrect material to vendors and document appropriately.
    • Works with service manager to identify truck inventory items and associated min/max levels.
    • Conducts warehouse inventory physical counts in coordination with the Controller, as requested.
    • Supports the Service Manager and field technicians in stocking and replenishing truck inventories as requested.
    • Load and unload products in truck for delivery to jobsites or other locations as directed by project manager or technician.
    • Keep records as goods enter and leave the warehouse.
    • Coordinate and plan driver’s schedules.
  • Fleet Management
    • Monitor operations to ensure that staff members comply with fleet policies and procedures.
    • Ensure that fleet vehicles have the proper safety equipment, i.e., fire extinguishers, first aid kits, safety cones and vehicle accident packets.
    • Promote fleet safety activities by attending company safety meetings.
    • Maintain database of asset details, vehicle identification, history, availability and all other pertinent information.
    • Perform periodic vehicle inventory to maintain accuracy.
    • Collect and keep a file of each driver’s signed fleet policy & procedure acknowledgments.
    • Ensure completion of safety inspections, emissions & odometer verifications, vehicle licensing & registration renewals, mechanical checks and recalls in order to comply with the legal requirements within each state.
    • Track and record the location of vehicle and driver, vehicle transfers from driver to driver and market to market and temporary assignments of pool vehicles.
    • Maintain database of driver address and phone numbers.
    • Coordinate distribution of fuel and maintenance cards.
    • Collect and summarize data to provide fuel expenses, mileage, driver status, vehicle inventory and other reports as needed.
    • Attends on-going training.
    • This position will require knowledge of fleet administration and DOT compliance and a thorough understanding of vehicle operation and maintenance criteria.
  • Purchasing
    • Create POs.
    • Complete purchase orders for field requests, tracking materials as necessary to assure schedules can be met.
    • Provide information which assures the correct and timely handling of materials and paper work and maintain accurate records reflecting status of equipment, materials, and any backorders.
    • Keep field technicians and project managers informed to assure that they know when material will arrive, and in the event we are not meeting a promise, advise the customer of same and make a new promise.
  • Tools, equipment, and safety items
    • Responsible for daily checklist of truck and forklift maintenance and reporting in/out times with merchandise returns.
    • Organizes and operates the tool area and maintains in a superior condition at all times.
    • Maintains Tool Sign In/Out Log; follows up with checked-out tools that are out longer than recorded.
    • Ensures Company tools are well maintained; coordinating tool repairs, as required.
    • Performs a monthly or quarterly, as required by the Controller, physical inventory of all tools.
    • Maintains inventory of PPE and other safety items required for performance of the work.
Qualifications
  • Education and/or Experience
    • High school diploma required; trade school or associate’s degree preferred.
    • Five years of warehouse experience, preferably for a mechanical contractor.
    • Working knowledge of HVAC materials and equipment.
    • Working knowledge of tools and power tools.
    • Forklift certification and experience.
    • Strong working knowledge with Excel, MS Office suite, and ERP software.
    • Valid Driver’s License.
    • CDL driver’s license.
    • Clean driving record.
  • Requirements
    • Candidates must possess strong troubleshooting and problem solving skills.
    • Must be organized, able to multi-task, and have a strong attention to detail.
    • Position will require excellent communication skills with exposure to all levels of management.
    • Extensive knowledge of Excel and proficiency with other Microsoft Office and ERP software.
    • Ability to work independently.
    • Ability to communicate clearly both verbally and in writing.
    • Negative results on drug screen.
    • Ability to multi-task and handle multiple order requests simultaneously.
