Job summary

Kinsley Power Systems is seeking an Ice Cream and Powder Blending Warehouse & Inventory Clerk to coordinate outbound shipping and inventory for frozen ice cream products and dry blends. You will allocate inventory, support blending requirements, and ensure accurate records while maintaining compliance with food safety standards.

The role emphasizes coordination with carriers, internal teams, and adherence to HACCP, SQF, and FDA guidelines, along with ERP-based inventory updates and regular cycle

Qualifications

  • High School diploma or GED required or equivalent.
  • 1–2 years in shipping, logistics or inventory control.
  • Experience with frozen, refrigerated, and dry goods preferred.
  • Proficiency with ERP and inventory management systems.
  • Knowledge of FIFO/FEFO concepts.
  • Strong attention to detail and problem-solving skills.
  • Forklift operation certification may be required or preferred.

Responsibilities

  • Coordinate outbound shipments for frozen and dry goods with carriers.
  • Prepare shipping documents (bills of lading, packing lists, load sheets).
  • Maintain cold-chain integrity during loading and staging.
  • Allocate inventory to orders and production schedules using FIFO/FEFO.
  • Record and monitor inventory levels; perform cycle counts.
  • Update ERP and inventory systems with shipment confirmations and counts.
  • Ensure compliance with HACCP/SQF/FDA guidelines and DOT shipping policies.
  • Keep shipping areas clean, organized, and safe.

POSITION SUMMARY:

The Ice Cream and Powder Blending Warehouse & Inventory Clerk is responsible for coordinating outbound shipping activities for frozen ice cream products and dry powder blends, including inventory allocation to customer orders, production demands, and blending requirements, while maintaining accurate inventory records. This role supports shipping execution, inventory control, and compliance with food safety and cold-chain requirements through effective coordination with carriers and internal teams.

ESSENTIAL FUNCTIONS, DUTIES AND PERFORMANCE RESPONSIBILITIES:
Shipping Coordination
  • Schedule and confirm outbound shipments for frozen and dry goods with carriers.
  • Prepare and verify shipping documents, including bills of lading, load sheets, and packing lists.
  • Ensure proper staging and loading of products to maintain cold-chain integrity and prevent contamination.
Inventory Management & Control
  • Allocate available inventory to customer orders, production schedules, and blending requirements based on priority, availability, and FIFO/FEFO principles.
  • Monitor allocated vs. available inventory to prevent shortages, over-allocation, or production delays.
  • Perform routine cycle counts for frozen, refrigerated, and dry inventory to ensure inventory accuracy.
  • Investigate, document, and resolve inventory discrepancies in a timely manner.
  • Maintain accurate inventory records within ERP and warehouse management systems.
  • Coordinate inventory movements related to shipping, production, and blending activities.
  • Support physical inventories and audits as required.
Inventory Documentation & Systems
  • Update ERP or inventory systems with shipment confirmations, inventory allocations, adjustments, and cycle count data.
  • Verify order accuracy prior to shipment and reconcile inventory balances post-shipment.
  • Maintain organized inventory and shipping documentation for compliance and reporting purposes.
Compliance & Safety
  • Safely operate forklifts, pallet jacks, and other material handling equipment in accordance with training and certification requirements.
  • Follow HACCP, SQF, and FDA guidelines for food safety and handling of frozen and dry products.
  • Ensure adherence to DOT regulations and company shipping policies.
  • Maintain clean and organized shipping office and staging areas.
Additional Responsibilities
  • Perform other duties as assigned to support operational or business needs.
POSITION SPECIFICATIONS/QUALIFICATIONS:
Education:
  • High School diploma/GED or equivalent work related experience.
  • Logistics, inventory control, or administrative training preferred.
Experience:
  • 1–2 years of experience in shipping, logistics, warehouse administration, and inventory control
  • Experience working with frozen, refrigerated, and dry goods preferred
Knowledge, Skills & Abilities:
  • Proficiency in ERP and inventory management systems
  • Understanding of inventory allocation, order prioritization, and FIFO/FEFO concepts
  • Strong attention to detail with a focus on inventory accuracy
  • Ability to perform cycle counts and analyze discrepancies
  • Effective communication, organization, and problem-solving skills
Physical Requirements:
  • Environmental exposure to warehouses stored at ambient (60-70° F), refrigerated (35° F), and frozen (minus 20° F) temperatures.
  • Walking: Moving about on foot to accomplish tasks, particularly for short distances on a regular basis.
  • Subject to up to at least 92db’s
  • Lifting: up to 20 lbs. occasionally
  • Walking: Moving about on foot to accomplish tasks, on a regular basis
  • Reaching: Extending hands and arms in any direction
  • Stooping: Bending body downward and forward by bending spine at the waist occasionally
