Family Building Blocks (FBB) is seeking a passionate, organized, and relationship-focused Volunteer Program Coordinator to coordinate and support our volunteer and internship programs. This position plays a vital role in connecting community members to our mission by recruiting, training, supporting, and recognizing volunteers and interns who help strengthen families and prevent child abuse and neglect.

The Volunteer Program Coordinator serves as the primary point of contact for volunteers and interns, ensuring they have meaningful opportunities to engage with Family Building Blocks while advancing our mission and supporting our programs. This position works closely with program, development, and community partners to foster long-term volunteer engagement and community investment in FBB.

  • Position Summary

The Volunteer Program Coordinator is responsible for volunteer recruitment , orientation and training, coordination and placement, acknowledgment and gratitude, accurate and comprehensive record-keeping, evaluation/feedback , and retention. The Volunteer Program Coordinator will demonstrate superior customer service and develop long-term relationships with volunteers, working to deepen volunteer engagement and community members' connection to our mission and encouraging support for our programs. This position leads and supports the crucial involvement of volunteers and interns in all aspects of Family Building Blocks operations and supports FBB's vision, mission, and values.

What You’ll Do
Volunteer Recruitment, Retention and Coordination
  • Develop and implement strategies for actively soliciting, engaging, and retaining volunteers by supporting appropriate outreach opportunities and conducting community outreach.
  • Engage current and prospective volunteers, serving as the primary point of contact for individual and group volunteers; respond to all volunteer inquiries in a timely manner.
  • Support coordination of presentations to businesses and community organizations.
  • Coordinate and make presentations at volunteer recruitment and internship fairs and similar events to promote opportunities for volunteering, internships, and community engagement.
  • Proactively and promptly follow up with referrals for potential volunteers who express interest at events and through other FBB activities. Schedule event guests for tours and follow up as soon as possible. Log progress in appropriate databases and communicate to Development staff on progress as needed.
  • Responsible for coordinating tours, overseeing scheduling and logistics, communication to tour attendees regarding tour times and locations, collecting volunteer inquiries, and promptly following up with potential volunteers. Assist with drop‑in or other tours of FBB facilities as needed.
  • Reviews volunteer application materials, screens and completes required volunteer paperwork checks, interviews with potential volunteers, assists in assignment placements, and coordinating schedules. Bridge community members to program opportunities or to the Special Event Team and Development Department.
  • Conduct volunteer surveys and manage related data. Maintain volunteer database and records of volunteer activities, including work crew teams, volunteers, number of hours worked contact information, etc. and reconciliation of monthly volunteer report.
  • Assist in entering data as needed in appropriate databases related to volunteers and community engagement.
  • Support in coordinating ongoing training opportunities; produce training materials to support volunteers as needed; develop and manage the volunteer training calendar and ensure training needs are met.
  • Provide ongoing communication to current, prospective, and past volunteers; disseminate information for upcoming volunteer opportunities and events; ensure volunteers are engaged, satisfied and well‑placed.
  • Work closely with Human Resources to coordinate background checks, DMV records search and assist with credentialing as necessary.
  • Provide oversight of all volunteer appreciation and recognition ensuring that volunteers are promptly and properly thanked for their support and coordinate volunteer appreciation events.
Program Volunteer & Interns Placement
  • Oversee Internship Program: recruit, screen, and manage application process of college and graduate interns who select FBB for their internship and practicum; meet with professors and interns as needed.
  • Coordinate with program managers regarding need, placement and orientation for new volunteers and interns at all sites.
  • Work collaboratively with program staff: coordinate placement and orientation, schedule, and evaluations for interns and practicum students and additional tasks and activities to complete intern hours as needed.
  • Support in coordinating quarterly training and community building opportunities for program staff and volunteers to learn, interact and build connections.
  • Supervise and support High School Intern Mentor.
Work Crew
  • Communicate with site supervisors regarding needs. Keep record of work crew opportunities through Excel sheets
  • Coordinate work crews volunteering at FBB. Oversee communication, schedule, and location of work to be performed at FBB sites and assign a work crew supervisor from respective sites.
  • Communicate with site supervisors regarding work crews, coordinate logistics, and provide training and checklists to ensure work crews have positive volunteer experiences.
  • Communicate with Communications Director for creation of thank you cards for work crews in a timely manner.
  • Support and follow up with site supervisors regarding appreciation and thank you cards are sent in a timely manner to work crews.
Special Events and Fundraising
  • Coordinate with the Special Events Manager regarding placement and orientation for new volunteers and Special Events Team Volunteers at all Development Events as needed.
  • Support fundraising events by serving as a Table Captain, assisting in ways to recruit and recognize volunteers at the events.
  • Participate in the development and implementation of grants related to volunteer activities and community outreach.
  • Work with Development staff to cultivate community contacts/volunteers to become financial donors.
  • Solicit volunteers to be Table Captains and attend other fundraising and community awareness events.
  • Responsible for managing the FBB Volunteer recruitment/inquires table
Other Related Duties
  • Communicate with Communications Director for creation of thank you cards after events in a timely manner.
  • Assist with drop‑in or other tours of FBB facilities as needed
  • Provide stories and updates about volunteer experiences to include in marketing materials, social media, and FBB's website.
  • Attends in-service training to improve skills, and knowledge in volunteer coordination and ongoing meetings as appropriate
  • Participate in ongoing meetings as needed: Development Staff, Program Supervisors and Program Managers meetings.
  • Keep inventory of snacks for volunteers in the areas of Reception, work crews, events, c. and communicate in a timely manner.
  • Performs other duties as assigned.
Qualifications
Education & Experience
  • HS Diploma/GED and five or more years of experience or equivalent coordinating volunteer program that included recruitment, training, placement, and retention of volunteers OR associate degree with three years of experience or equivalent OR combination of education and experience.
  • Experience in engaging and supporting volunteers as an integral part of program services.
  • Knowledge of current trends, resources and information related to volunteerism and knowledge of volunteer resource management.
  • Demonstrated experience in event planning and coordination of logistics.
  • Possess excellent verbal, written communication, and public speaking skills; ability to effectively communicate and work as a team with colleagues, board members, volunteers, donors, and partners.
  • Excellent interpersonal and customer service skills to provide information in a welcoming, professional, and positive manner, for ongoing or prospective volunteers.
  • Proficient in MS Outlook, Excel, Word and PowerPoint, Blackbaud Raiser's Edge software, Greater Giving. Ability to learn new programs required for the position.
  • Demonstrated experience and ability to effectively supervise, motivate, and train, and support volunteers, staff, and team.
  • Experience and comfort working well with high‑performing team charged with serving multiple priorities and deadlines to achieve goals and support the mission, values, and vision of FBB.
  • Possess excellent creative problem‑solving skills, "can‑do" attitude, attention to detail, and time management and organizational skills.
  • Must be energetic, innovate, self‑motivated, make sound decisions, and able to handle stress and remain calm.

  • Possess a valid Oregon Driver's license or ability to obtain one within 30 days of hire, acceptable driving record, and reliable transportation.
  • An employer‑paid pre‑employment drug test is required.
  • Successfully pass a criminal conviction background check.
