Description Of Work

Description Of Work

DESCRIPTION OF WORK: Provide administrative and technical assistance to department staff, City employees, and the public. This includes supervising personnel; serving as administrator for various systems; providing clerical support; coordinating the purchasing of supplies, services, and equipment; performing special assignments; serving on committees; and filling in for other support staff as needed. The position supervises non-sworn personnel.

Definition

Supervises personnel by scheduling, prioritizing, assigning work, conducting performance evaluations, answering questions, training, mentoring, and making hiring, termination, and disciplinary recommendations.

Reports To

The Police Lieutenant, who assigns work based on general instructions. The supervisor reviews completed work for compliance, accuracy, and appropriateness of final results.

Job Requirements
  • Administers the Agency's Record Management System, maintaining pick tables, adding/modifying information, managing users, conducting audits, and generating reports.
  • Administers MFR system, including training staff, maintaining pick tables, monitoring reports, and troubleshooting.
  • Ensures compliance with state and national rules regarding criminal justice computer systems.
  • Provides clerical support, including typing, responding to inquiries, ordering supplies, maintaining files, supporting committees, and assisting with budgets and plans.
Minimum Qualifications
  • High School Diploma or GED
  • Three years of administrative experience
  • Previous supervisory experience
License or Certification
  • Valid driver’s license
  • DCI certifications (modules 1, 2, & 3) after hire
Knowledge, Skills, and Abilities
  • Knowledge of management and supervisory principles
  • Knowledge of records management system
  • Excellent written and oral communication skills
  • Ability to establish effective working relationships
  • Ability to analyze data and prepare reports
  • Skill in operating office equipment and supervising personnel
Supervisory Controls

Work is assigned by the Police Lieutenant with spot checks for compliance and quality.

Guidelines

Guidelines include department orders, laws, regulations, and codes, which may require interpretation.

Complexity

Work involves supervisory and records duties requiring accuracy.

Scope and Effect

The role involves public relations and providing accurate incident information, including operating multimedia equipment.

Personal Contacts

Contacts include city personnel, officials, agency representatives, and the public, mainly for information exchange and problem resolution.

Physical Demands and Work Environment

Primarily desk work in an office setting, occasionally lifting light objects.

Supervisory Responsibilities

Direct supervision over Virtual Call Center Techs (4).
