Job description

We are looking for a resourceful, tech-savvy, and detail-oriented Virtual Assistant to support the CEO in administrative, operational, and digital marketing tasks. This role is perfect for someone who thrives in a fast-paced entrepreneurial environment and is comfortable wearing many hats. You will be working directly with the CEO to manage priorities, streamline operations, and support the growth of multiple brands.

  • Manage the CEO’s calendar, appointments, and inbox with a high level of confidentiality.
  • Organize virtual meetings, take notes, and follow up on key action items.
  • Provide light personal assistant support as needed (appointments, reservations, etc.).
  • Assist with ongoing project timelines using tools like Asana.
  • Track deliverables and ensure deadlines are met.
  • Support digital launches, campaigns, and operational checklists.
  • Upload and format content on Kajabi (courses, landing pages, emails, offers).
  • Schedule and monitor posts on Facebook Pages and Groups.
  • Monitor engagement, respond to comments/messages, and flag items that need CEO attention.
  • Assist in setting up automations and workflows in Kajabi.
  • Use Asana to assign and track tasks and collaborate with other team members.
  • Upload digital assets, organize folders, and manage cloud-based tools (Google Drive, Dropbox).
  • Serve as a point of contact between the CEO and team members, clients, or vendors.
  • Communicate professionally and represent the CEO’s brand voice in writing.
  • Handle basic customer support emails or DMs, as needed.
  • 2+ years of experience as a Virtual Assistant or Executive Assistant.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • High level of discretion and professionalism.
  • Comfortable with remote communication tools (Zoom, Slack, Google Meet).
  • Strong tech skills, especially with tools like Kajabi, Facebook, Asana, Google Workspace.
  • Experience managing Kajabi websites, email sequences, or product builds.
  • Familiarity with social media tools (e.g., Meta Business Suite, Buffer, Later).
  • Canva or light design skills for social content or branding materials.
  • Experience supporting a C-level executive or entrepreneur.
  • Interest or background in digital marketing, coaching, or e-commerce.
