Description du poste

Our organization is a rapidly scaling, mission-driven interventional psychiatry platform dedicated to transforming the mental healthcare landscape. We provide cutting-edge, evidence-based treatments—including Spravato (esketamine), Transcranial Magnetic Stimulation (TMS), and medically supervised IV Ketamine Therapy - for individuals battling treatment-resistant depression, severe anxiety, PTSD, and complex mood disorders. Backed by clinical rigor and patient-centric protocols, we bridge the gap between innovative psychiatric medicine and compassionate, accessible outpatient care, providing real hope and clinical breakthroughs to patients who have exhausted traditional therapeutic avenues.

Currently operating 3 regional centers of excellence, the company is actively executing an immediate multi-state expansion to 8 clinic locations, establishing the core infrastructure for an ongoing national roadmap targeted at 25-30+ sites.

We are seeking an entrepreneurial, operationally rigorous Vice President of Operations / Head of Operations to lead our platform through an inflection point of rapid scale. Reporting directly to the Co-Founders/Co-CEOs, this executive will manage our day-to-day operations while spearheading our immediate expansion from 3 operating clinics to 8 locations, establishing the operational foundation and repeatable playbooks needed to scale into a disciplined, data-driven healthcare enterprise supporting 25-30+ sites.

The primary mandate is to ensure our clinics deliver exceptional patient outcomes and service through an accountable, standardized, and scalable operating structure. This role requires an executive who thrives at the intersection of strategic planning and hands-on operational execution—someone who can command unit-level economics, institute operational playbooks across new facility openings, foster strong clinical partnerships, and build leadership depth across every department.

This role requires an executive who thrives at the intersection of strategic planning and hands-on operational execution—someone who can command unit-level economics, institute operational playbooks across new facility openings, foster strong clinical partnerships, and build leadership depth across every department.

Core Responsibilities
  • Enterprise Operations & Leadership: Direct day-to-day operations across all clinics and corporate functions. Establish organizational structure, standard operating procedures (SOPs), KPI operating rhythms, and accountability frameworks to translate executive vision into measurable execution.
  • Patient Journey & Funnel Conversion: Oversee the end-to-end patient experience from inquiry through treatment. Drive intake conversion, reduce drop-off, optimize speed-to-lead, and coordinate seamlessly between intake, scheduling, and local clinic teams.
  • Prior Authorization & Insurance Verification (Dotted Line): Guide centralized authorization workflows to accelerate benefit verifications, eliminate approval bottlenecks, handle appeals/renewals, and partner with RCM/finance to prevent treatment interruptions.
  • Clinic Operations & Clinical Alignment: Partner with the Medical Director to uphold consistent clinical quality across Spravato, TMS, and IV Ketamine services. Manage regional and clinic managers to maximize chair/room utilization, improve retention/adherence, minimize cancellations, and standardize the patient experience.
  • Financial Discipline & Performance Management: Partner with the CFO to manage clinic-level P&Ls, operating budgets, provider productivity, and labor efficiency. Identify and resolve operational drivers of revenue leakage while executing corrective action plans where needed.
  • De Novo Expansion Execution (3 to 8 Clinics & Beyond): Collaborate with the Director of Expansion to execute our multi-state rollout. Build and deploy repeatable clinic-opening playbooks covering staffing, credentialing, IT, and operational ramp-up to ensure on-time, budget-conscious launches without destabilizing existing clinics.
  • Technology, Systems & Data Analytics: Drive organization-wide adoption of core platforms (Salesforce CRM, AdvancedMD EHR/PM), build executive dashboards for actionable KPI tracking, and implement workflow automations that eliminate administrative friction.
  • People, Compliance & Risk: Partner with HR to recruit, onboard, and retain high-performing clinical and administrative teams. Work with compliance and legal to maintain rigorous adherence to healthcare regulations (DEA, REMS for Spravato, HIPAA, OSHA) and ensure patient safety.
Candidate Qualifications
  • Experience: 10+ years of progressive operational leadership experience within healthcare, with at least 4-5 years in an executive-level capacity (VP of Operations, Head of Operations, or COO).
  • Multi-Site Scale & Growth: Proven track record scaling multi-site outpatient healthcare operations through rapid inflection points (e.g., taking an organization from early single-digit locations to 10-30+ sites).
  • Operational Toolkit: Deep expertise in centralized patient access/intake, insurance verification and prior authorization workflows, provider scheduling, and patient journey optimization.
  • De Novo Execution: Demonstrated experience authoring operational playbooks, launching de novo healthcare clinics, and building regional management tiers.
  • Technology Proficiency: Hands-on experience implementing and scaling enterprise healthcare software, specifically Salesforce (or comparable CRM platforms) and AdvancedMD (or comparable EHR/PM systems).
  • Financial Acumen: Strong background in P&L management, multi-site budgeting, clinic unit economics, and operational KPI modeling.
  • Education: Bachelor's degree in Healthcare Administration, Business Administration, Operations Management, or related field required; MBA or MHA strongly preferred.
  • Travel: Willingness and ability to travel across clinic sites in New York, New Jersey, and target expansion states as needed (typically 25-40%).
Core Competencies & Leadership Attributes
  • Strategic & Hands-On: Capable of designing multi-year platform strategies while rolling up sleeves to resolve local clinic roadblocks during high-growth ramp-ups.
  • System Builder: Instinctively builds repeatable systems, documentation, and processes rather than relying on ad-hoc interventions.
  • Decisive & Data-Driven: Anchors operational choices in clear data, while maintaining high clinical empathy and patient-first ethics.
  • Developer of People: Fosters autonomy, builds accountability, and develops strong clinic and regional leaders without serving as an organizational bottleneck.
  • Radical Candor: Communicates transparently with executive peers and founders, surfacing risks early and addressing root causes directly.
Compensation & Executive Package
  • Base Salary: $250,000 base salary.
  • Incentive Compensation: Substantial annual performance-based bonus tied to operational milestones, multi-clinic launch execution, and EBITDA/margin targets.
  • Executive Benefits: Comprehensive health, dental, and vision insurance; retirement savings plan (401k); generous paid time off (PTO); executive travel reimbursement and tech stipend.
