  • Manage complex documentation exceptions, waivers, amendments, and post-funding requirements, escalating issues as needed.

The Role

We are hiring a Vice President, Documentation & Lease Administration to lead the documentation and lease administration function for complex equipment finance transactions. You will oversee the process from approved transaction through documentation, funding, booking, and post-closing, ensuring deals are structured and documented accurately, risks are addressed, and transactions move efficiently to close. Success in this role means strong documentation standards, clean and audit-ready files, well-managed risk, and a team that can execute complex transactions accurately and on time.

Responsibilities
  • Lead the end-to-end documentation and lease administration process for complex equipment lease and loan transactions.
  • Review, prepare, and negotiate master leases, equipment schedules, promissory notes, guaranties, amendments, riders, and other transaction documents.
  • Oversee UCC filings, lien searches and perfection, titled equipment requirements, insurance documentation, organizational documents, and signature authority.
  • Review transaction structures and documentation for consistency with credit approvals, legal requirements, and company policies.
  • Partner closely with Sales, Credit, Syndication, Accounting, and funding sources to resolve documentation issues and keep transactions moving toward closing.
  • Manage complex documentation exceptions, waivers, amendments, and post-funding requirements, escalating legal or credit issues when appropriate.
  • Lead, mentor, and support documentation and lease administration team members, providing guidance on complex transactions and establishing clear standards for execution.
  • Develop and improve documentation procedures, controls, workflows, and best practices to increase efficiency, consistency, and risk management.
  • Maintain accurate transaction records and ensure documentation files remain complete, organized, and audit-ready.
Qualifications
  • 7+ years of direct experience in equipment leasing or finance documentation, funding, and lease administration, with significant exposure to complex or large-ticket transactions.
  • Demonstrated leadership experience managing, mentoring, or providing senior-level guidance to documentation or operations professionals.
  • Deep working knowledge of equipment lease and loan documentation, UCC lien perfection and filing, insurance requirements, organizational documents, and signature authority.
  • Strong experience reviewing and negotiating master leases, schedules, promissory notes, guaranties, amendments, and related transaction documents.
  • Familiarity with equipment finance structures such as TRAC, Split-TRAC, FMV, and First Amendment leases.
  • Experience working with funding sources, syndication partners, outside counsel, and internal credit and sales teams on complex transactions.
  • Strong judgment, attention to detail, and ability to identify and resolve documentation, operational, and risk issues before they delay funding.
  • Highly organized and self-directed, with the ability to manage multiple transactions, priorities, and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and provide clear guidance on complex matters.
  • LeasePlus or comparable lease accounting system experience and Salesforce preferred, along with strong Microsoft Word, Excel, and Outlook skills.
  • Bachelor’s degree in finance, accounting, business, or a related field preferred; equivalent relevant equipment finance experience will also be considered.

Details
