Job summary

PAW Health Network is seeking a Caregiver Support Staff to join our 24-Hour Animal Care Center team in Wisconsin. The role supports caregivers and staff from 2 pm to 11 pm, handling calls, scheduling, and payments while maintaining a welcoming front office environment.

Ideal candidates are compassionate, organized, capable multi-taskers with veterinary office experience and proficiency in practice management software and EMR systems. Benefits are available for eligible staff.

Responsibilities

• Greet caregivers in a friendly and timely manner
• Receive incoming calls, provide information, and route as needed
• Record caregiver information accurately and consistently
• Assist, coordinate and/or perform appointment scheduling between caregivers and medical staff
• Assist incoming patients based on urgency and available staff resources
• Process payments for invoices and reconcile cash drawer
• Maintain lobby cleanliness and assist with clerical duties
• Engage in The Collaborative Process and attend meetings

**We are looking for a Caregiver Support Staff teammate that is available to work 2 pm - 11pm shifts!

What should you expect working as a Caregiver Support Staff?

BASIC QUALIFICATIONS

• Has the ability to solicit, process, and integrate input from team members and administrators
• Recognizes areas of conflict or disagreement and deals with them through open and honest dialogue.
• Contributes to a positive work environment by treating others with fairness and respect
• Demonstrates proficiency and/or willingness to learn the advanced use of practice management software, electronic medical records, Microsoft Office products, and ASANA

PROVIDE TIMELY AND PROFESSIONAL COMMUNICATIONS WITH CAREGIVERS AND COWORKERS

• Greet caregivers in a friendly and timely manner
• Receive incoming calls, provide available information, and route as needed
• Ensure caregiver information is recorded accurately and consistently
• Assist, coordinate and/or perform appointment scheduling between caregivers and medical staff
• Assist incoming patients based on urgency of care and available staff resources
• Perform clerical duties, including but not limited to filing, copying, faxing, linking, emailing, mailing & scanning

PERFROM PROCESSING RELATED DUTIES

• Process payments for invoices (transactions via cash, care credit, credit/debit cards, and checks)
• Utilize the clinic's practice management software to finalize invoices, process refunds, and accurately record all sales
• Reconcile the cash drawer and all payment transactions (cash, checks, electronic payments) against the system's end-of-day report
• Coordinate with the Medical Support Team to answer any caregiver questions

PROVIDE IMMEDATE SUPPORT TO ALL DEPARTMENTS

• Understand hospital logistics to maintain efficiency and reduce costs
• Be a resource for inventory control, to aid in loss prevention
• Ensure front lobby remains clean throughout shift

ENGAGE PAW’S COLLABORATIVE PROCESS IN ACCORDANCE WITH CURRENT OPERATIONAL GUIDELINES

• Integrate into the The Collaborative Process
• Attend regular Collaborative Meetings with members of the Collaborative & Supporting Role Teams
• Track progress through Core Training, and track issues and accomplishments as they arise
• Provide feedback on guidelines, processes and policies with intent to improve efficiency and effectiveness
• Attend departmental or All-Staff meetings

Qualifications

Schedule Requirements

• Full-Time or Part-Time
• 2 pm - 11 pmshifts
• Every other weekend coverage
• Up to 4 Holiday Spans / Year
• 4 DAY WORK WEEK!
