The ideal candidate will have strong client-service experience, veterinary billing knowledge, and the ability to navigate multiple hospital systems while maintaining compassionate care.

Qualifications

• High school diploma or equivalent required.
• Minimum 3 years of client service experience, especially in difficult conversations.
• Experience in veterinary hospital billing and patient invoicing is preferred.

Responsibilities

• Serve as the primary financial liaison for ER and ICU clients, presenting estimates and deposits with empathy.
• Review and maintain accurate patient invoices in hospital systems.
• Create treatment estimates with veterinarians and communicate financial plans.
• Educate clients on payment options (CareCredit, Scratchpay) and assist with applications.

Schedule: Full-Time | Tuesday–Saturday, 4:00 p.m.–12:00 a.m.
Compensation: $24–$26/hour based on experience

Bulger Veterinary Hospital is hiring a full-time Veterinary Financial Coordinator to support our Emergency and ICU departments in Lawrence, Massachusetts. Responsibilities

• Serve as the primary financial liaison for ER and ICU clients, presenting treatment plans, discussing estimates, collecting deposits, and setting clear financial expectations with empathy and transparency.
• Review and maintain accurate patient invoices by ensuring services, supplies, departments, and providers are correctly documented and charged within EzyVet and related hospital systems.
• Partner closely with ER and ICU veterinarians to create treatment estimates, communicate financial plans, and support efficient patient care workflows.
• Provide financial updates for hospitalized patients, obtain additional deposits as needed, and document all client financial conversations within the medical record.
• Educate clients on payment and financial assistance options, including pet insurance, CareCredit, and Scratchpay, and assist with applications and claims when appropriate.
• Address client questions and concerns related to billing, invoices, and financial agreements, escalating complex issues to the appropriate medical team members when needed.
• Develop expertise in hospital billing processes, insurance programs, and payment resources while promoting best practices in charge capture and financial communication across teams.

Qualifications

• High school diploma, GED, or equivalent combination of education and experience
• Minimum 3 years of client service experience with demonstrated ability to navigate difficult conversations during emotionally challenging situations
• Veterinary hospital experience strongly preferred
• Strong understanding of veterinary terminology, workflows, and patient care processes
• Experience with billing, invoicing, charge capture, payment collection, and data entry
• Strong attention to detail with excellent organizational and multitasking abilities
• Excellent verbal and written communication skills +Strong interpersonal and customer service skills
• Basic math and financial calculation skills
• Ability to work around sick animals, zoonotic diseases, cleaning chemicals, and other veterinary workplace hazards
• Fluent English speaking and reading skills required
