Job summary

Virginia Veterinary Centers Short Pump is seeking a Dentistry & Ophthalmology Coordinator to elevate client experience and improve treatment plan compliance and fee capture. You will be the go-to contact for dentistry and ophthalmology clients when the medical team is unavailable.

This full-time role offers day shifts, four 10-hour shifts per week, and a pay rate of $20–$22 per hour. You will support CSRs, prepare treatment estimates, schedule visits, and coordinate care with the veterinary team

Qualifications

  • Previous veterinary medicine experience required.
  • Experience auditing medical records.
  • History of handling escalated client concerns.

Responsibilities

  • Coordinate patients' care for dentistry and ophthalmology.
  • Discuss detailed financial questions with clients, relieving clinicians.
  • Assist CSRs with calls and answer questions about services.
  • Audit invoices and provide monthly management reports.
  • Schedule consults, rechecks, and emergencies per specialist approval.
  • Maintain records for next-day appointments and communicate with PDVMs.
  • Provide updates to owners when nursing staff unavailable.

Full-Time | 4x10's | Day shift | Weekdays

Our Dentistry & Ophthalmology Coordinator will elevate our department’s client experience and improve upon treatment plan compliance and fee capture. Our Coordinator will be the point of contact for dentistry and Ophthalmology clients when a medical team member is not immediately available.

They are our point of contact for DVMs requesting to speak with our dentist (when Dr. Babbitt is not immediately available) or Ophthalmologist (when Dr. Fuchs is not immediately available).

Our Coordinator will provide Dentistry & Ophthalmology clients with the time and attention they need (which allows the nursing team to focus primarily on patient care).

Dentistry & Ophthalmology Coordinator Responsibilities
  • Available to the Dentistry and Ophthalmology Departments to coordinate patients’ care.
  • Handles complicated or time-consuming financial conversations with specialty clients, relieving the dentist & ophthalmologist or his/her team so they can move onto the next patient or procedure.
  • Assist CSRs with in-depth phone calls from clients and PVMs to discuss and answer detailed questions about services.
  • Assists with disruptive clients or upset clients, preventing escalation.
  • Audits all current/open invoices for hospitalized dentistry & ophthalmology patients. Audits closed invoices as a KPI, producing management reports monthly.
  • Participates in department level meetings.
  • Have a good knowledge of dental surgeries, treatments, and at home care.
  • Work collaboratively with the entire VVC specialty staff
  • Create estimates for dental treatments and procedures.
  • Present treatment plans to client
  • Schedule add-on consults/rechecks/treatments/emergencies per specialist approval
  • Assist nursing team with call-backs
  • Ensure all dental and ophthalmology cases are scheduled in a timely manner per the clinicians’ standards and availability.
  • Aid clients with insurance companies.
  • Strong communication and positive customer service skills
  • Provide medical updates to owners if nursing staff are unavailable to do so
  • Assist clients with questions regarding paperwork.
  • Assist nursing team by checking team voicemails, conveying message to the correct team member, and returning phones calls as needed.
  • Check department voicemail throughout the day.
  • Take as many calls for the dentistry and ophthalmology departments as possible (to avoid sending clients to voicemail)-timely resolution of client concerns/request.
  • Ensure records are complete for next day appointments and follow up with appropriate PDVMs as needed.
  • Performs all other duties as assigned.
Qualifications
  • Available to work Monday - Friday between the hours of 8am – 6pm
  • Previous veterinary medicine experience is required
  • Experience auditing medical records
  • Demonstrated history of handling escalated client concerns
