Job summary

WaterBridge is seeking a Vendor Management Specialist to manage vendor data, onboarding, compliance, and cross-department collaboration. The role includes validating banking details, tax IDs, and insurance certificates, while supporting the legal team with agreements. The position is full-time with a hybrid schedule in Houston, TX.

The ideal candidate will have 3+ years in vendor management, strong detail orientation, and excellent communication skills to coordinate with offices and vendors.

Qualifications

  • Vendor management experience in any industry is strongly preferred.

Responsibilities

  • Collect vendor data and documentation and onboard into systems such as Workday.
  • Validate banking details and enroll suppliers for ACH payments.
  • Verify Tax Registration numbers and maintain supplier records.
  • Provide onboarding documentation to suppliers for internal use.
  • Assist legal team with executing vendor agreements.
  • Identify high-risk vendors and ensure regulatory compliance.
  • Process vendor change requests including contacts and banking info.
  • Maintain and clean the Vendor Master file and flag inactive vendors.
  • Verify Insurance certificates and track expirations.
  • Analyze vendor records to identify duplicates or incomplete data.

Job description

WaterBridge is excited to announce a unique opportunity for a Vendor Management Specialist to become a pivotal part of our team at WaterBridge. In this role, you will make significant contributions to our vendor and supplier accounts. This role will oversee all vendor and supplier requests and account maintenance. This role will work closely with multiple departments and management.

Primary Duties & Responsibilities
  • Collecting vendor data and documentation from an approved vendor and integrating the vendor in Workday.
  • Validating banking details and enrolling the supplier with ACH payments.
  • Validating Tax Registration numbers.
  • Providing suppliers with internal documentation for customer onboarding.
  • Assisting the legal team with executing agreements.
  • Identifying high-risk vendors and ensuring they comply with high-risk regulations.
  • Processing vendor change requests such as contact and banking information.
  • Cleaning the Vendor Master file (making notations on inactive vendors with no activity within the last 18 months).
  • Verifying Insurance Certificates, expiration, and collecting information if expired or missing.
  • Analyzing vendor records to identify duplicate vendors and/or vendors with incomplete information.
Qualifications & Requirements
  • High school diploma or GED (Associate’s or college degree preferred).
  • Thrives in a fast-paced environment and can manage multiple projects at the same time.
  • Collaborates effectively and frequently with office and field team members, leaders, and vendors.
  • Must have strong organizational skills.
  • Must be highly detailed oriented.
  • Have excellent problem-solving skills and good time management to balance competing priorities and deadlines.
  • Ability to switch focus quickly when urgent needs pop up.
  • Have strong verbal and written communication skills.
  • Be proficient in project management, analytics, Excel, Word, Adobe Pro (editing, redacting, preparing, and creating documents).
  • Have experience with Workday, OSV, and Veriforce is strongly preferred.
  • Have at least 3 years of Vendor Management experience within any industry is strongly preferred.
Working Conditions/Environment

Operates in a professional and/or business casual office environment.

Position Type

This is a full-time position.

Shift

Shift includes standard work week with half day Fridays.

Monday – Thursday (9 hours) & Friday (4 hours).

Hybrid Position

Hybrid position, with the flexibility to work remotely.
