The Position

The Vendor Compliance Specialist is responsible for maintaining the company’s compliance documentation, processes, and communication with all suppliers (international and domestic). The primary role will be to assist in the development and implementation of process and procedure as it relates to supplier onboarding, ethical sourcing, and documentation of continuous improvement; as well as coordinating day-to-day compliance requirements for the products being sourced. This position works across departments and globally to ensure suppliers meet company, Federal and International standards.

Key Responsibilities:

  • Works directly with internal departments and vendors to ensure that products comply with PCNA compliance requirements and standards. This includes actively requesting, reviewing, and approving audit documentation.
  • Responsible for communicating with business partners, coworkers, and vendors in all parts of the world through regularly updates and maintenance of a vendor/supplier manual.
  • Coordinates with 3rd party inspection, and audit service providers to: request service quotes, issue purchase orders (POs), track progress, review final reports, and review / approve final invoicing.
  • Assists with research, interpretation, and communication of government regulations, industry standards, and customer requirements pertaining to social compliance and quality assurance.
  • Stays current on regulatory, industry, and customer requirements and best practices regarding pertinent compliance topics by attending webinar trainings and industry conferences.
  • Responsible for making justifiable determinations for compliance launches and ethical sourcing that directly impact the compliance budget and potential sales.
  • Correspond with Sales Team regarding the status of product compliance audits as needed.
  • Assists with the education of internal teams, suppliers, and customers on the subject of global responsibility and social compliance.
  • Assists to identify savings opportunities and to ensure continuous improvement of PCNA’s Compliance Program.
  • Responsible to ensure marketing material related to social compliance or responsible sourcing is current and communicated in a manner that creates a positive customer experience.
  • Assist with the documenting and communication of compliance related claims review process.

Skills and Knowledge:

  • A self-starter who takes initiative to solve problems and follow up with internal customers and vendors.
  • Friendly, tactful, and professional in your communications on the phone, in person and in e-mail and capable of skillfully handling difficult conversations and situations with different cultures.
  • Ability to prioritize multiple tasks with strong attention to detail in a fast-paced environment.
  • Ability to critically analyze technical documentation.
  • Inquisitive and willing to continually learn and stay current on relevant laws and regulations.

Minimum Qualifications Required:

  • 5+ years of experience in social compliance, auditing, or responsible sourcing operations or a similar area, or related professional import experience in a real-world environment.
  • Have a working knowledge of logistics activities including import activities.
  • Excellent communication and interpersonal skills.
  • The individual should be self-motivated and be capable of working as part of a team or alone with little supervision.
  • Ability to stay current on business practices, industry trends and government regulations and trends in Social Compliance.
  • Proven proficiency in Microsoft applications (Word, Excel, SharePoint and Outlook).
  • Detail-oriented, with strong organizational skills.
  • Demonstrated ability to work effectively in a collaborative team environment with a dynamic range of people.
  • Ability to deal with sensitive situations with tact and well-reasoned judgment under pressure.
  • Flexible and adaptive with a positive attitude.
  • Limited Travel may be required from time to time - once every few months or so.
