Job summary

Collectors is seeking a meticulous Process and Standards Manager to document, standardize, and continuously improve vault workflows, ensuring zero defects and full auditability. You will partner with Vault Operations and other departments to onboard new categories and build institutional‑level controls.

You’ll report to the Senior Manager, Vault Operations, and work at our New Castle, DE office with remote or hybrid options considered.

Qualifications

• Prior experience in process engineering, quality assurance, operations standards, or a similarly structured operational role.
• Proven ability to design and document scalable processes and drive adoption across teams.
• Strong attention to detail with excellent research and analytical skills.
• Strong organizational skills and the ability to manage multiple process initiatives simultaneously.
• Strong understanding of Google Sheets, Docs, and similar tools.
• Excellent written and verbal communication skills and cross‑functional collaboration.
• Experience building and auditing institutional‑level controls is highly desirable.
• Familiarity with card collecting and trading is highly desirable.

Responsibilities

• Design, document, and maintain SOPs across vault workflows for normal and high‑value standards, ensuring version control and auditability.
• Establish and monitor SLAs for vault operations, tracking performance against zero‑defect and on‑time standards.
• Triage recurring production and operational issues and redesign workflows to eliminate them.
• Partner with Security and Facilities to ensure security of assets and own the compliance audit cadence.
• Lead onboarding standards for new categories and repeatable processes ahead of expansion.
• Conduct regular audits and regression testing to ensure institutional controls.
• Own root‑cause analysis and permanent corrective actions for escalated incidents.
• Translate logistics pain points into standardized, scalable procedures with Client Logistics Manager.
• Collaborate with Ops, Customer Service, CRC, Claims, Security, Facilities to reflect item journeys in docs.
• Train and support vault staff on updated standards ensuring consistent adoption.
