Qualifications

Responsibilities

Role Overview

We are looking for an experienced and highly organized Marketing Project Manager to take

ownership of the planning, coordination, execution, and accountability of our marketing

initiatives.

This role will serve as the central coordination point between leadership, our in-house

marketing team, external vendors, contractors, and specialized marketing teams. The

Marketing Project Manager will be responsible for ensuring that projects move forward on

schedule, teams remain aligned, blockers are resolved quickly, and leadership has clear

visibility into marketing performance.

This is not primarily a hands-on advertising, copywriting, or content-production position. The

primary responsibility is to manage the people, projects, timelines, deliverables,

communication, and KPIs required to execute our marketing strategy successfully.

As the organization grows, some functions currently handled by external vendors may

transition in-house. The Marketing Project Manager should be comfortable managing both

internal and external teams.

Key Responsibilities
1. Marketing Project Management
  • Manage multiple marketing projects and initiatives simultaneously.
  • Convert leadership and marketing strategies into clearly defined projects, tasks, owners, deadlines, and deliverables.
  • Maintain visibility into all active marketing initiatives and their current status.
  • Establish priorities based on business objectives and leadership direction.
  • Ensure projects are completed accurately and within agreed timelines.
  • Identify dependencies, risks, bottlenecks, and resource constraints before they impact deadlines.
  • Follow up proactively with responsible team members rather than waiting for missed deadlines.
  • Ensure deliverables are reviewed and ready before being presented to leadership or launched.
2. Multi-Team & Vendor Management

Coordinate and manage work across multiple internal and external marketing functions,

including:

  • Paid Advertising
  • Marketing Administration
  • Email Copywriting
  • SMS Copywriting
  • Funnel Copywriting
  • Funnel Development and Optimization
  • Voice AI / AI Calling
  • Instagram Content and Growth
  • Social Media / Follower Growth
  • Creative and Design
  • Marketing Automation
  • Other marketing vendors, contractors, and specialists as required

The Marketing Project Manager will ensure each team clearly understands:

  • What needs to be delivered
  • Why it is being done
  • Who owns each deliverable
  • Required dependencies
  • Expected completion dates
  • Success criteria and KPIs

The role will also manage external vendor relationships while supporting the potential

transition of selected functions to internal teams in the future.

3. Daily Team Management
  • Lead a daily marketing stand-up meeting.
  • Review priorities, progress, deadlines, blockers, and dependencies.
  • Ensure every team member knows their immediate priorities.
  • Track commitments made during meetings and follow through until completion.
  • Hold additional coordination or problem-solving calls when necessary.
  • Bridge communication gaps between teams when projects require cross-functional collaboration.
  • Escalate unresolved issues to leadership when appropriate.
4. Marketing L10 Meeting

Lead the weekly Marketing L10 meeting and ensure it remains structured, data-driven, and

action-oriented.

Responsibilities include:

  • Preparing the Marketing L10 agenda.
  • Maintaining and reviewing the Marketing Scorecard.
  • Reviewing weekly KPIs.
  • Reviewing Rocks / major marketing priorities.
  • Reviewing outstanding To-Dos.
  • Identifying and prioritizing Issues.
  • Facilitating IDS (Identify, Discuss, Solve).
  • Assigning clear owners and deadlines to action items.
  • Following up on commitments after the meeting.
5. Leadership Communication
  • Participate in and/or lead the weekly Marketing Leadership meeting.
  • Provide leadership with a concise overview of marketing performance, priorities, risks, and blockers.
  • Communicate important leadership decisions back to the appropriate marketing teams.
  • Ensure leadership does not need to follow up repeatedly to understand project status.
  • Escalate significant delays, performance issues, budget concerns, or resource requirements promptly.
  • Report directly to the COO and/or CEO.
6. KPI & Performance Reporting

Own the collection, validation, and presentation of weekly marketing KPIs.

Develop and maintain a clear KPI framework for each marketing function.

The Marketing Project Manager is responsible for ensuring that KPI data is available,

accurate, reviewed weekly, and presented to the Leadership Team with appropriate context.

7. Accountability & Performance Management
  • Establish clear expectations for deliverables and deadlines.
  • Monitor team performance against agreed KPIs and commitments.
  • Identify recurring missed deadlines or execution problems.
  • Work with team members and vendors to understand root causes and establish corrective
  • actions.
  • Document ownership and accountability for critical marketing activities.
  • Escalate persistent performance issues to the COO/CEO.
  • Maintain a culture of accountability without creating unnecessary meetings or
  • administrative overhead.
8. Process & Operational Improvement
  • Identify inefficiencies within marketing workflows.
  • Develop and maintain marketing SOPs and repeatable processes.
  • Improve communication between Ads, Copy, Funnel, Automation, AI, Social Media, and
  • Leadership teams.
  • Standardize project intake, prioritization, execution, QA, and reporting.
  • Recommend tools, processes, or resource changes where appropriate.
  • Help transition vendor-managed functions to in-house teams when required.
  • Ensure critical marketing knowledge and processes are documented and not dependent on
  • A single individual or vendor.
Required Skills & Experience
  • 4+ years of experience in Marketing Project Management, Marketing Operations, or a
  • similar role.
  • Proven experience managing multiple marketing teams, vendors, contractors, or agencies
  • simultaneously.
  • Strong understanding of digital marketing workflows.
  • Working knowledge of:
