Job summary

Ohana Urgent Care in Ventura seeks an outgoing Client Service Representative to be the welcoming face of the hospital and provide exceptional client experiences. You will manage appointments, patient flow, and communications in a fast-paced, empathetic environment.

The role requires 1+ years in customer service or front-desk work, experience in veterinary reception preferred, and proficiency with Cornerstone software. Full-time with a 4x10 schedule, Tuesday–Friday.

Urgent Care Veterinary Receptionist / Client Service Representative

Ventura, CA

Ohana Urgent Care is seeking an outgoing Client Service Representative to serve as the welcoming face of our hospital.

In this fast-paced urgent care setting, you will create exceptional client experiences, build trust through compassionate service, manage appointments and daily patient flow, handle multi-line phones and in-person interactions, process transactions, and support clients with essential information about our services — often during stressful, time-sensitive situations that require calm, clear communication and genuine empathy. Ideal candidates are friendly, detail-oriented, highly organized, and thrive in a team-focused customer service environment where urgency and compassion go hand in hand.

Schedule and compensation:

  • Compensation: $20 - 23 per hour, for each hour worked
  • Schedule: This is a full-time position, with a 4 x 10 schedule and availability needed Tuesday–Friday. No on-call requirements.

Minimum qualifications and skill set:

  • 1+ years of experience in a customer service, reception, or client-facing role
  • Previous veterinary receptionist or healthcare-related front-desk experience preferred
  • Proficiency in the following skills:
    • Ability to manage a multi-phone line system while assisting in-person clients
    • Experience working with veterinary practice management software, especially Cornerstone,preferred
    • Exceptional verbal and written communication skills
    • Ability to provide compassionate, professional service to clients during both routine and emotionally sensitive situations
    • Strong organizational and time management skills
    • Experience scheduling appointments and coordinating calendars preferred
    • Ability to accurately process payments and maintain financial records
    • Positive attitude and willingness to collaborate with a team
    • Ability to remain calm, professional and solution-oriented during busy periods
