Job summary

University of Maryland Medical System in Chestertown, MD is seeking a full-time Unit Secretary to support administrative operations in a health care unit, department, or clinic and facilitate patient care coordination.

Qualifications

  • High school diploma or equivalent required.
  • Knowledge of medical terminology preferred.
  • Previous experience as a unit secretary in a health care setting preferred.
  • BLS through the American Heart Association/American Red Cross encouraged.

Responsibilities

  • Provides administrative assistance by managing phone calls and inquiries from patients, families, and staff.
  • Maintains and organizes medical records and other documents as required.
  • Maintains confidentiality of patient data and uses systems to access and manage clinical information.
  • Utilizes electronic devices, computer programs and applications as required and applicable to the role.
  • Prepares patient charts for transfer to other units or facilities according to policies and procedures.
  • Greets patients and families with a professional, customer-oriented demeanor at all times.
  • Provides support and answers questions to contribute to a quality patient experience.
  • Orders office and nutritional supplies, equipment, etc. as directed by manager.
  • Maintains the order, cleanliness, and appearance of the work station.
  • Responds to call lights promptly and retrieves items for patients and staff.

General Summary: Supports and maintains the administrative operation of a health care unit, department, or clinic. Provides administrative, organizational, and communication tasks that contribute to the delivery of high-quality patient care and effective coordination within the health care team.

Principal Responsibilities And Tasks

  • Provides administrative assistance to the health care unit by managing phone calls and handling inquiries from patients, families, and staff.
  • Maintains and organizes medical records and other documents as required.
  • Maintains confidentiality of all patient data including verbal, written and electronic formats.Utilizes various systems to access, enter and manage clinical information, including orders and requisitions, summary reports and other information as appropriate.
  • Utilizes electronic devices, computer programs and applications as required and applicable to the role.
  • Organizes the department’s workflow by preparation of patient charts for transfer to other units or facilities according to policies and procedures.
  • Greets patients and families. Demonstrates a professional and customer-oriented appearance and demeanor at all times. Demonstrates appropriate verbal and telephone skills.
  • Provides support and answers questions as appropriate, contributing to a quality patient experience.
  • Orders office and nutritional supplies, equipment, etc. as directed by manager.
  • Maintains the order, cleanliness, and appearance of the work station.
  • Responds and answers call lights in a timely manner and retrieves items including water, blankets, etc. as requested by patients and staff.
Knowledge, Skills, and Abilities
  • Proficiency in computer applications and electronic health record systems.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication abilities
  • Ability to work effectively in a fast-paced and sometimes high-stress health care environment.
Minimum Education, Experience, And License/Certification Required
  • High school diploma or equivalent required.
  • Knowledge of medical terminology is preferred.
  • Previous experience as a unit secretary or a similar administrative role within a health care setting is preferred.
  • BLS through the American Heart Association/American Red Cross is highly encouraged

Compensation
  • Full-Time, Day/Mid Shift - Step Down/ED (7a-730p / 10a-10:30p)
  • Pay Range: $18.12/hr. - $25.99/hr. (based on experience)
