Care New England is seeking a Unit Secretary to perform clerical duties on a nursing or clinical unit. You will maintain patient charts, update the electronic medical record, and assist staff, patients, and families with information and support.

The role requires a high school diploma, clerical experience, and comfort with hospital terminology. You will work on a 40/80 full-time schedule, primarily days, with potential unit float to meet operational needs.

Qualifications

Responsibilities

  • Observe hospital and unit policies and guidelines.

  • Use electronic systems to ensure labs and orders are processed in a timely manner.
  • Report needed repairs to related services.
  • Make emergency phone calls as directed.
  • Answer phones and relay messages.

Job Summary

The Unit Secretary performs clerical duties on a nursing or clinical unit. They follow confidentiality expectations and facilitate an atmosphere of cooperation by being professional, pleasant, and helpful to the staff, patients, and families. They observe all general hospital and departmental policies, guiding principles, rules and regulations. They attend orientation and complete ongoing in-service education as required.

Duties & Responsibilities
  • Observing all general hospital and departmental policies, guiding principles, rules and regulations.
  • Maintaining patient charts and electronic medical record for admissions, transfers and discharges.
  • Working within electronic system to ensure labs and other communications / orders are tended to in a timely manner.
  • Reporting needed repairs to related services.
  • Making emergency phone calls as directed.
  • Answering telephone and relaying messages accordingly.
  • Adhering to Butler Hospital’s service standards.
  • Managing unit census/daily attendance and reporting attendance numbers daily.
  • Maintaining supply orders for designated units.
  • Maintaining supply of all necessary forms/packets/patient folders.
  • Managing incoming faxes and telephone calls.
  • Assisting patients locate appropriate clinical staff to get their needs addressed.
  • Performing various other clerical duties as needed on unit to support clinical staff, or as assigned by program manager, including data entry (ie BASIS or other scales), mailing patient information packets, calling patients to provide basic information
Requirements
  • High school graduate or equivalent, including course in English, typing, spelling and arithmetic.
  • Experience in clerical work is required.
  • On-the-job training in practices and procedures of the hospital and certain medical terminology.
  • Must be able to perform duties under stress and in a busy environment.

Schedule: 40/80 Full Time Days / Mon-Fri 8a-4:30p

This is a Float position with a primary assignment on Delmonico 4; may be assigned to other units to meet operational needs.
