Summary

Under the supervision of the Nursing Director and as part of the Unit-Based Patient Care Team, the unit secretary performs secretarial duties and coordinates unit procedures to ensure efficient operation and quality patient care. Responsibilities include answering phones, collaborating with healthcare team members, scheduling tests and appointments, maintaining medical records, and coordinating discharges, transfers, and admissions. The role requires providing indirect patient and family-centered care appropriate to the patients' ages.

Essential Functions

Provision Of a Safe Environment
  • Assist in maintaining safety and intervene appropriately.
  • Identify and follow up on safety issues.
  • Implement physician orders safely, notifying the charge nurse of concerns.
Service
  • Meet patient and family needs promptly and compassionately.
  • Maintain communication, appearance, and respect standards.
  • Collaborate proactively to ensure smooth unit operations.
Organizational Ethics
  • Uphold the organization's mission and values.
  • Maintain patient confidentiality.
  • Support a culturally diverse environment.
  • Follow proper procedures for patient concerns.
Management of Resources
  • Order and distribute supplies as directed.
  • Maintain work areas and equipment.
  • Manage facility, bio-med, housekeeping, and IT requests.
  • Assist in managing and facilitating unit projects.
  • Coordinate with ancillary services and other departments.
  • Provide backup for patient transport and discharge procedures.
Management of Information
  • Answer and manage unit phone calls, take messages, and coordinate communication.
  • Participate in shift handoffs.
  • Maintain patient records and documentation accurately and timely.
  • Schedule tests, appointments, and discharges.
  • Use hospital systems like Meditech and QuadraMed for data entry and reporting.
  • Coordinate logistics for patient transfers and discharges.
Interdisciplinary Care
  • Interact with the healthcare team for patient-centered care.
  • Respond to patient call lights and requests.
  • Support unit staff clerical needs and float to other units as needed.
Patient/Family Education
  • Greet visitors professionally and provide basic information about unit operation.
Competency & Quality Improvement
  • Maintain compliance with competencies and participate in ongoing education.
  • Contribute to quality improvement projects and committees.
  • Participate in safety and service excellence programs.
Qualifications

Education: High School Diploma or Equivalent required; Associate's Degree preferred.

Experience: 1-2 years in medical or customer service setting preferred; knowledge of medical terminology and Microsoft Office preferred.

Skills & Abilities: Strong interpersonal, organizational, and communication skills; ability to work under stress; flexibility; patient age range from adolescent to geriatric; physical ability to perform duties.

Work Details: Onsite, full-time, day shift, 40 hours/week.
