Job summary

Southern Illinois Healthcare is seeking an individual to provide clerical support on the Nursing Unit, acting as a liaison among staff, patients, and families. The role involves greeting visitors, coordinating messages, and supporting administrative tasks to ensure smooth unit operation.

Responsibilities include daily unit audits, staffing coordination, and assisting in fiscal decisions for departments while using Epic and Responder 5 for scheduling and communications.

Qualifications

  • High School Diploma or equivalent required.
  • Associate degree preferred.
  • 1 year experience in medical environment with knowledge of Epic preferred.
  • Proficient in Microsoft Office.
  • Demonstrate exemplary telephone etiquette and accurate keyboarding skills.

Responsibilities

  • Answering phone calls and relaying messages to appropriate staff.
  • Performs daily unit audits to ensure proper care and documentation of safety and quality indicators.
  • Acts as liaison between the Nursing Unit, Quality Improvement, Patient Relations, and other staff.
  • Assist Manager in achieving strategic performance goals.
  • Oversees inventory ordering and supply/equipment management.
  • Programs staff phone assignments in Epic and Responder 5.
  • Maintains cleanliness of Nursing Station per shift.
  • Facilitates communication between patients and families as needed.

Job description

Position Summary

Responsible for providing clerical support to the Nursing Unit while serving as a resource to employees, patients, and visitors. The role includes greeting patients and visitors as they enter the Nursing Unit. They are the facilitator of meaningful communication between medical staff and the unit’s administrative needs.

Education
  • High School Diploma required or equivalent

  • Technical Experience: 1 year experience in medical environment with knowledge of Epic preferred.
  • Proficient in Microsoft Office
  • Demonstrate exemplary telephone etiquette and possess accurate keyboarding skills
Role Specific Responsibilities
  • Answering phone calls and relaying messages to appropriate staff
  • Performs daily unit audits to ensure proper care and documentation of safety and quality indicators
  • Act as a liaison between the Nursing Unit, Quality Improvement, Patient Relations, and other Essential Staff
  • Assists Manager in achieving strategic performance goals
  • Assists in preparation of and maintenance of fiscal decisions of departments by overseeing inventory ordering and supply/equipment management
  • Assists manager with all ETO requests, responsible for approving/denying these requests in API after collaboration with Manager
  • Assists with control of daily staff rosters, collaborates with Staffing Office, communicates staffing concerns with Supervisors and Manager
  • Completes phone calls as needed, which may include follow up discharge calls and scheduling patient appointments
  • Programs staff phone assignments each shift into Epic and Responder 5
  • Fax appropriate paperwork as needed, including referrals and other follow up items at discharge, prepare transfer packets as needed
  • Prepare “Downtime” packets and ensure current forms
  • Maintain cleanliness of Nursing Station, disinfecting counter tops, phones, and other equipment per shift
  • Serves as department charge champion, assists manager in managing daily financial responsibilities such as invoice approvals
  • Facilitates communication between patients and families as needed
System Resource Management Center Unit Coordinator Roles and Responsibilities
  • Answering phone calls and relaying messages to appropriate staff and leaders
  • Performs daily audits to ensure complete and accurate timekeeping
  • Assists manager in achieving strategic performance goals
  • Assist in preparation of and maintenance of fiscal decisions of departments by overseeing inventory ordering and supply/equipment management
  • Support and assist in day to day needs of organizations scheduling and incentive applications
  • Data collection and tracking for system resource management center and float pool
  • Schedule and staffing support: Prepare and distribute daily and weekly staffing reports including staffing gaps throughout system
  • Participate and complete special projects related to resource management center and float pool
  • Daily e-filing of system unit level daily rosters and acuity sheets
  • Assist department leadership with interview set up and on-boarding of new employees
Compensation

Commensurate with experience: $17.18 To $25.77
