Qualifications

  • Ability to operate required computer programs including Microsoft Office Suite and electronic timekeeping System.
  • Healthcare or behavioral health experience; bilingual English/Spanish strongly preferred.
  • Must have valid California driver’s license and liability insurance if driving.

Responsibilities

  • Greet visitors and clients professionally and determine needs.
  • Direct authorized individuals per safety protocols.
  • Maintain welcoming reception and waiting area.
  • Answer, screen, and route calls; schedule programmatic appointments.
  • Assist in program census, intake scheduling, and documentation.
  • Upload documents to client health records and systems.
  • Support program management and meetings; assist with training volunteers.
  • Maintain confidentiality and health and safety standards.
  • May assist with billing actions.

Major Tasks, Duties and Responsibilities
  • Greet visitors and clients in a professional and courteous manner;determineneeds and direct appropriately
  • Ensure only authorized individuals access the facilityin accordance withsafety protocols
  • Maintain a clean, organized, and welcoming reception and waiting area
  • Manage lobby postings, brochures, and informational materialsincluding but not limited to serving as clerical support for compliance purposes in event of audits/inspections/etc.
  • Answer, screen, and route incoming calls accurately and efficientlywith a positive customer-service attitude;Schedule programmatic appointments as needed including managing program calendarsin collaboration with management
  • Support program census including insurance eligibility, intake scheduling, documentation upload,etc.
  • Upload documentation to internal and external client health records and other systems
  • Take clear, completemessagesand ensuretimelydelivery
  • Make overhead pages or notifications whenrequired
  • Communicate effectively with internal and external stakeholders
  • If assigned to treatment program, mayperform toxicology testing,assistinchartingrelevant information
  • Receive, sort, and distribute incoming mail, faxes, and packagesand manage outgoing mail/delivery
  • Maintainappropriate handlingand tracking of documents
  • Support staff and departments with administrativeand clientneeds as assigned
  • May support in training volunteers including client volunteers onappropriate clericalduties
  • Support program management in preparingall-staffor other program meetings including safety meetings, communication,trainings, events, etc.
  • May order, track, andmaintaininventory of office supplies and forms
  • May support billing actions,includingbut not limited tocorrective action
  • Maintain professional boundaries and standards. Treat clients with respect,care,and concern.Comply with confidentiality requirements at all times. Maintain health and safety standards of facility.
  • Adhere to BHS health, safety, and operational procedures
  • Maintain working knowledge of applicable regulations and policies
  • Collaborate effectively with team members and other departments
  • May be assigned to support programmatic transportation needs including but not limited to client transportation, as needed
  • Participate in meetings, trainings, and committees as assigned
  • Other duties as assigned

  • Ability todemonstrateappropriate customerservice and interpersonal skills, communication (verbal and written),organizationand attention to detail, multitasking and time management,adaptabilityand learning agility.
  • Ability to adhere to professional standards
Minimum Qualifications
  • High School Diploma oreducational/experienceequivalent required.Minimumtwo(2) yearsofoffice,clerical, or administrative experience preferred.
  • Strong communication, organizational, and recordkeeping skillsarerequired.
  • Ability tooperaterequired computer programs for position, including but not limited to Microsoft Office Suite, electronic timekeeping system, electronic learning management system, upon hire ordemonstratedcompetency developed within90 daysof employment.
  • Experience in healthcare, behavioral health, or social services settings, knowledge of medical or behavioral health terminology,Bilingual (English/Spanish) strongly preferred.
  • Must have valid California driver’s license and liability insurance if drivinga personalor company vehicle on BHS business.
  • Vision, hearing, manualdexterity,and eye-hand coordination must be adequate forthe performanceof job duties. Able to sit ata desk, usea keyboard, write and physically perform other job duties.Able to move about the facility toobserveclients and staff. Complete annual TBandmaintain good standing.
