Crawford Group (www.crawfordgroup.com) is seeking an Event Manager for a client of ours. This is a part-time remote opportunity, offering around 30 hours per week, with the potential for travel within the United Kingdom.

Tangible Scope of Work Product Delivery:
Event Management:
- Assist the Sr. Marketing Lead in EMEA by managing, planning, and executing sponsored and lead events across the company's event portfolio
- Work with cross-functional teams to understand event objectives, themes, and key messages supporting company goals
- Define and organize internal and external communications, content production, registration, and measurement activities to ensure consistent and effective messaging across all platforms. This includes working cross-functionally with the campaign team to set up events in Marketo
- Participate in planning meetings, collaborate on action items, and discuss the next steps for each program element. Project manage the assigned events in Asana
- Assist in executing the company’s digital marketing strategy, including promoting event promotions on the company website and social media platforms, ensuring engagement and brand consistency
- Manage conference planning calls as necessary
- Source relevant publications to advertise the events
- End-to-end execution of smaller events
Vendor and Contract Management:
- Manage third-party suppliers, negotiating all pricing and contracts and routing these through the company's procurement and legal processes for approval and signature
- Oversee vendors, including those providing printing, giveaways, catering, videography/photography, and other services, ensuring agreements and performance align with event goals and company standards
- Submit vendor contracts and payment requests to the company for execution and processing
Logistical Coordination:
- Manage event timelines, detailed project plans, and show services including networking, electrical, furnishings, cleaning, audio and visual, food and beverage, signage material handling, and move-in time negotiation as necessary
- Coordinate logistics, including menus, Banquet Event Orders, travel arrangements, and the timely shipping of materials and equipment
- Manage the shipment of packages, tracking, and drayage for events/shows
- Register staff and clients for events, assist with travel needs and questions, and manage travel and accommodation bookings
- For company-owned events, manage communication with speaker and sponsors and ensure they have a positive experience on-site
Material and Resource Management:
- Manage ordering of branded giveaways and ensure brand standards during production for brand activation
- Manage ERC requirements and deadlines for applicable shows/programs
- Coordinate preparation of any briefing documents or collateral for attendees
Staffing and Scheduling:
- Create event/booth staffing schedules and coordinate external staffing as needed
- Coordinate staff schedules based on 1:1 meeting bookings with customers and prospects
- Define speaker requirements and coordinate corresponding A/V orders
Venue and Ancillary Event Management:
- Source and manage venues and vendors for any ancillary events such as dinner reservations, happy hours, breakfasts, etc
Stakeholder Communication:
- Communicate with the EMEA Sr. Marketing Leader to ensure alignment on event deliverables and expectations
- Manage communication flow during the event to ensure all parties are informed and engaged
Budget and Financial Oversight:
- Create, manage, and reconcile budgets for each event, ensuring cost estimates are accurate and approved by client/stakeholders
- Track event budgets, including budget forecasting, reconciliation, and final close-out
Performance Evaluation and Reporting:
- Obtain ROI goals from the EMEA Sr. Marketing Lead and ensure that analytics are set up
- Evaluate and report on event performance, including any post-event ROI tracking
- Participate in postmortem debriefs to assess outcomes and integrate learnings into future event planning
- Manage all post-show activities, including post-show shipping logistics, debrief meetings, and final reports
- Shadow one or two webinars to understand protocols and processes in Zoom and Whova
- Determine roles/responsibilities and process documentation
- Obtain technology and tools access setup
- Manage webinar timeline for program based on client desired execution date
- Collect, review, and upload Webinar Request Form/Webinar Brief
- Obtain session content from stakeholders and/or event owner
- Schedule webinar in Zoom
- Coordinate and schedule tech run with stakeholders and/or event owner
- Send calendar invites for both tech run and live event to speakers and moderators
- Add appropriate panelists/speakers to the session
- Manage dry run call, ensuring event flow is established and all attendee engagement (polls, chat, Q&A) is agreed upon
- Join the live webinar to support speakers as needed
- Delivery of post-event Zoom report and link to recording
Location: EMEA-based, 100% remote, with the possibility of travel
Duration: Part-time, 30 hours per week, consulting
Rate: D.O.E./hour W-2 consultant of Crawford Group; benefits available if eligible (Our hourly ranges are determined based on skills, experience and location)
