Job summary

Columbia Bank in Denver seeks a Distributions Manager for Columbia Private Trust to lead the outgoing distributions, transfers, and rollover activities. You will mentor staff, optimize workflows, and ensure compliant, timely processing of client requests.

Qualifications

  • Formal college-level education in business or trust, or equivalent training and experience.
  • 8 years of experience in Trust Operations.
  • 3 years of direct leadership experience in financial services.
  • CISP and/or RITA SDIP preferred.
  • Understanding of departmental goals and how they contribute to business objectives.
  • Ability to facilitate complex transactions in alternative investments.
  • Excellent communication and report-writin g skills.
  • Strong time and project management skills.
  • Knowledge of Trust Accounting System and related IT.

About The Role

The Distributions Manager – Columbia Private Trust is responsible for managing all aspects of the firm’s outgoing distributions, transfers, and rollover activity. Responsible for maintaining efficient operations, quality of service, and compliance standards across multiple asset and client types. Processing activities include cash transfers, asset transfers, rollovers, recharacterizations, and beneficiary processing. The primary goal of the team is to ensure compliant, accurate, and timely processing of client distribution and transfer out requests. Responsible for the day to day leadership of the team, including mentoring and coaching in a challenging and ever-changing work environment. Ensure all team related goals related to operational excellence and client service are met or exceeded. Work collaboratively with multiple internal and external partners and proactively pursue alternative ways to gain efficiencies related to cash and securities processing activities.

  • Train and/or oversee the training of staff in all areas related to re-registration, transfers out, and distributions
  • Delegate tasks and monitor workflow in order to support cross-training efforts to increase productivity
  • Monitor employee work performance, prepare performance evaluations, and coach employees on performance improvement objectives
  • Interview, hire, and terminate employees in accordance with established policies and procedures
  • Maintain departmental desk procedures for each functional area/desk
  • Coordinate and implement projects and work assignments according to Trust Company and department objectives, policies, expectations, and customer requirements
  • Act as project lead and/or specialist for projects as assigned
  • Act as the operational liaison on projects related to re-registration, transfers out, and/or distributions
  • Ensure special projects are completed and implemented in a timely manner
  • Recommend and implement changes to, or new, workflows to strengthen and ensure consistent processing
  • Remain current on new regulations or industry trends that affect team operations
  • Performs or supervises processing and quality control review of outgoing cash disbursements via check, wire, ACH, and ACATS and outgoing asset distributions
  • In partnership with internal partners, assist in the development and execution of the team’s strategic initiatives
  • Provide clarity and guidance to the team on how to proceed with escalated issues. Personally address and resolve client escalations as needed
  • Proactively seeks out and implements efficiencies, changes in procedures, new developments or changes in services or products
  • Ensures prompt and accurate posting of customer transactions related to team processing
  • Supervises the required minimum distribution (RMD) process
  • Assists director in Preparing documentation for audits and regulatory exams
  • Demonstrates compliance with all bank regulations for assigned job function and applies to designated job responsibilities – knowledge may be gained through coursework and on-the-job training. Keeps up to date on regulation changes
  • Follows all Bank policies and procedures, compliance regulations, and completes all required annual or job-specific training
  • Maintain a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and other regulations as applicable to this job description
  • May be asked to coach, mentor, or train others and teach coursework as subject matter expert
  • Actively learns, demonstrates, and fosters the Columbia Private Trust corporate culture in all actions and words

About You
  • Formal college-level training/education in business or trust, or equivalent training and experience, required
  • 8 years of experience in Trust Operations, required
  • 3 years of direct leadership experience including leading a team of employees in a financial services environment, required
  • Certified IRA Services Professional (CISP) and/or Retirement Industry Trust Association (RITA) certified Self Directed IRA Industry Professional (SDIP), preferred
  • Thorough understanding of departmental provisional/business goals and how they contribute to the Trust Company’s business objectives
  • Knowledge and ability to facilitate complex transactions related to alternative investments
  • Excellent communication skills with the ability to convey detailed information and instructions clearly, write reports, correspondence and procedures
  • Effective time and project management skills
  • In-depth knowledge of the Trust Accounting System, various personal computer operating systems, networking, and software programs
  • Ability to work effectively in a team environment
  • Ability to accomplish work assignments under minimal or no supervision and sometimes tight schedules
  • Well-developed analytical skills

The base pay range for this role is $89,000.00 to $127,000.00.

The pay rate for the selected candidate is dependent upon a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, education, and geographic location. The role may be eligible for performance-based incentive compensation, and those details will be provided during the recruitment process.
