Job summary

Columbia Private Trust, part of Columbia Bank, seeks a Distributions Manager to lead the team handling cash and asset transfers, rollovers, and recharacterizations. You will supervise staff, design efficient workflows, and ensure accurate processing with strict adherence to regulatory standards.

You will collaborate with internal and external partners, train staff, and drive initiatives to improve service quality. Onsite leadership at the Denver location is expected.

Qualifications

  • Formal college-level training/education in business or trust, or equivalent training and experience.
  • Able to facilitate complex transactions and supervise a team in a financial services environment.
  • Experience leading a trust operations team and overseeing distributions, transfers, and related processes.

Responsibilities

  • Manage all aspects of outgoing distributions, transfers, and rollover activity.
  • Lead day-to-day operations, mentoring and coaching staff.
  • Coordinate projects and implement workflows to improve efficiency and accuracy.
  • Oversee hiring, training, and performance evaluations.
  • Maintain desk procedures and ensure regulatory compliance across operations.
  • Act as project lead on trust-related initiatives and serve as liaison for stakeholders.
  • Escalate and resolve client issues and ensure timely posting of transactions.
  • Oversee RMD process and support audits/regulatory exams.

About the Role:The Distributions Manager – Columbia Private Trust is responsible for managing all aspects of the firm’s outgoing distributions, transfers, and rollover activity. Responsible for maintaining efficient operations, quality of service, and compliance standards across multiple asset and client types. Processing activities include cash transfers, asset transfers, rollovers, recharacterizations, and beneficiary processing. The primary goal of the team is to ensure compliant, accurate, and timely processing of client distribution and transfer out requests. Responsible for the day to day leadership of the team, including mentoring and coaching in a challenging and ever-changing work environment. Ensure all team related goals related to operational excellence and client service are met or exceeded. Work collaboratively with multiple internal and external partners and proactively pursue alternative ways to gain efficiencies related to cash and securities processing activities.Train and/or oversee the training of staff in all areas related to re-registration, transfers out, and distributionsDelegate tasks and monitor workflow in order to support cross-training efforts to increase productivityMonitor employee work performance, prepare performance evaluations, and coach employees on performance improvement objectivesInterview, hire, and terminate employees in accordance with established policies and proceduresMaintain departmental desk procedures for each functional area/deskCoordinate and implement projects and work assignments according to Trust Company and department objectives, policies, expectations, and customer requirementsAct as project lead and/or specialist for projects as assignedAct as the operational liaison on projects related to re-registration, transfers out, and/or distributionsEnsure special projects are completed and implemented in a timely mannerRecommend and implement changes to, or new, workflows to strengthen and ensure consistent processingRemain current on new regulations or industry trends that affect team operationsPerforms or supervises processing and quality control review of outgoing cash disbursements via check, wire, ACH, and ACATS and outgoing asset distributionsIn partnership with internal partners, assist in the development and execution of the team’s strategic initiativesProvide clarity and guidance to the team on how to proceed with escalated issues. Personally address and resolve client escalations as neededProactively seeks out and implements efficiencies, changes in procedures, new developments or changes in services or productsEnsures prompt and accurate posting of customer transactions related to team processingSupervises the required minimum distribution (RMD) processAssists director in Preparing documentation for audits and regulatory examsDemonstrates compliance with all bank regulations for assigned job function and applies to designated job responsibilities – knowledge may be gained through coursework and on-the-job training. Keeps up to date on regulation changesFollows all Bank policies and procedures, compliance regulations, and completes all required annual or job-specific trainingMaintain a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and other regulations as applicable to this job descriptionMay be asked to coach, mentor, or train others and teach coursework as subject matter expertActively learns, demonstrates, and fosters the Columbia Private Trust corporate culture in all actions and wordsTakes personal initiative and is a positive example for others to emulateEmbraces our vision to become “Business Bank of Choice”May perform other duties as assignedAbout YouFormal college-level training/education in business or trust, or equivalent training and experience, required8 years of experience in Trust Operations, required3 years of direct leadership experience including leading a team of employees in a financial services environment, requiredCertified IRA Services Professional (CISP) and/or Retirement Industry Trust Association (RITA) certified Self Directed IRA Industry Professional (SDIP), preferredThorough understanding of departmental provisional/business goals and how they contribute to the Trust Company’s business objectivesKnowledge and ability to facilitate complex transactions related to alternative investmentsExcellent communication skills with the ability to convey detailed information and instructions clearly, write reports, correspondence and proceduresEffective time and project management skillsIn-depth knowledge of the Trust Accounting System, various personal computer operating systems, networking, and software programsAbility to work effectively in a team environmentAbility to accomplish work assignments under minimal or no supervision and sometimes tight schedulesWell-developed analytical skillsTeam leader or supervisory experienceTraining and mentoring skillsInterpersonal skills to effectively supervise staffOccasional travelThe base pay range for this role is $89,000.00 to $127,000.00.The pay rate for the selected candidate is dependent upon a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, education, and geographic location.
