Job summary

Community Financial System, Inc. (CFSI) is seeking a Trust Administration support professional to assist fiduciary account management within the ClearPoint Trust Department.

You will help with document review, account setups, and recordkeeping while ensuring accuracy and regulatory compliance. The role emphasizes attention to detail, organizational and analytical skills, and the ability to work with multiple teams to deliver timely fiduciary services.

Qualifications

  • Bachelor's degree in a related field; specialized trust education or legal paraprofessional experience preferred.
  • Strong attention to detail and organizational skills with analytical ability.
  • Proficient reading, writing, grammar, and mathematical skills; Excel experience essential.

Responsibilities

  • Supports trust officers and personnel in delivering fiduciary services across various account types.
  • Coordinates tasks with department and other units to ensure smooth information flow.
  • Ensures compliance with policies, procedures, and regulatory requirements.
  • Maintains records and prepares required reports and communications.
  • Completes duties to assist in administration of fiduciary accounts, including setting up accounts and documenting transactions.
  • Prepares status records and reports on fiduciary activities and regulatory forms.

Responsibilities

As an integral member of the ClearPoint Trust Department, this position is mainly responsible for providing support for trust and investment services to customers; complying with operating policies and procedures established for the trust administration function; communicating with appropriate personnel; responding to inquiries or requests for information; maintaining appropriate records and providing assigned reports.

Essential Duties:

Provides support to trust officers and other personnel in delivering trust services; these services include the various fiduciary account types, depending on the location of the role.

  • Provides quality service to customers, whether internal or external.
  • Demonstrates cooperative efforts in working with other departments and within own department.
  • Coordinates specific work tasks with other personnel within the department as well as with other units and departments in order to ensure the smooth and efficient flow of information.
  • Complies with established operating policies and procedures in order to maintain adequate controls and to support the bank’s adherence to outside regulatory requirements.
  • Communicate with management and staff in order to integrate goals and activities
  • Responds to inquiries relating to a particular area
  • Responds to requests from other bank personnel, customers, etc. within the given time frames and within established policies.
  • Maintains appropriate records and provides assigned reports.

Completes assigned duties to assist in the administration of fiduciary accounts, including but not limited to:

  • Accurately documents and codes trust account transactions, ensuring proper entry and recordkeeping in the relevant systems.
  • Reviews various legal documents to assist in setting up accounts.
  • Arranges meetings with customers or other interested parties of accounts as necessary.
  • This position may assist in the collection, appraisal, safekeeping, disposition, and accounting for all property in accordance with the terms and conditions of the fiduciary agreement under which the bank is appointed and the policies and procedures of the Trust Department.

Maintains an active awareness of changes in legal requirements that may affect the administration of the various types of fiduciary accounts.

Prepares and maintains status records and reports on fiduciary activities; prepares various reports, statements, and forms including tax, regulatory, and other governmental forms as required for review by other trust personnel.

Ancillary Duties:

Performs other related duties as assigned or directed.

Qualifications

Education/Training:

B.S. or B.A. degree in a related field of study preferred. Specialized trust education and training or legal paraprofessional experience. All applicants must be 18 years of age or older.

Skills:

Strong attention to detail and proven organizational and analytical skills. Ability to prioritize and work effectively under time constraints. Strong personal computer skills including ability to create, use, and manipulate data on Excel spreadsheets. Proficient reading, writing, grammar, and mathematical skills. Proficient interpersonal relations and communicative skills.

Experience:

Minimum of four (4) years of related business office experience generally required.

Hours: 40 hours/week

Compensation: Commensurate with experience plus potential for annual merit increase.
