Salary is determined on directly related experience supported by a service record or experience affidavit. Annualized pay may be pro-rated based on actual start date. This position is non-stipend eligible.

Position Summary

The Trip Request Specialist is responsible for coordinating and managing school bus field trips and other transportation requests, including creating, scheduling, assigning, maintaining, and modifying trips. Reviews and approves transportation requests; processes and assigns extra- and co-curricular field trips; collaborates with the Fleet Manager to ensure the appropriate vehicle is assigned; communicates with requesters and provides follow-up throughout the transportation process; and closes out transportation support requests, including processing related billing. Maintains a shared online trip log and provides backup support for dispatch operations, including routing and the use of Transfinder Routefinder and Skyward Student. The position also answers incoming calls, provides general transportation support, and drives a school bus as needed.

Minimum Requirements

  • High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.
  • Two (2) years of School bus driving or relevant experience.
  • Obtain the class "B" CDL license with all required endorsements within 180 calendar days of employment (Paid Training Provided).
  • Safe driving record verified by Texas Department of Public Safety and Federal Motor Carrier Safety Administration Clearinghouse (meets and maintains liability coverage eligibility).
  • Ability to pass U.S. Department of Transportation alcohol and drug tests and annual physical exam.
  • Obtain and maintain School Bus Driver Certification (Texas Department of Public Safety).
  • Satisfactory outcome of fingerprinting background check.

Preferred Qualifications

  • Experience with Transfinder school bus routing software.
  • Ability to communicate effectively in both English and Spanish.

Essential Functions/Key Responsibilities

  • Receive, review, and approve trip requests in accordance with established procedures.
  • Monitor trip requests to ensure they are submitted at least ten (10) days prior to the scheduled trip and have received approval from the campus principal.
  • Ensure trip departure and return times do not conflict with regularly scheduled bus routes, with established bus routes taking priority.
  • Approval of trip requests after ensuring driver availability, white fleet or bus availability, that pick up and drop off time for trips requiring a driver are outside of route time and the number of buses requested is appropriate for the number of students, lift bus or special needs bus, and student or staff needs.
  • Work with Safety Trainer to maintain a file of Texas DPS driver license checks and ensure that driver license checks come back clear prior to allowing a requester or staff member to transport a student or operate a district vehicle.
  • Decline and communicate with trip requester and campus principal designee after receiving Director approval to decline any trips that exceed the capacity of the transportation department.
  • Coordinate drivers and assistants for extracurricular field trips.
  • Assemble field trip folders and paperwork.
  • Work with Fleet Manager to ensure the assignment of vehicles for trip requests.
  • Work with athletic department/school administrators to manage field trips.
  • Compute time and distance for field trips.
  • Maintain an online shared log of all trips.
  • Prepare invoices for field trips to campuses or departments.
  • Operate a school bus when needed.
  • Maintain filing system of all information related to trips for a minimum of three (3) years.
  • Primary back-up to the Dispatcher, assist with dispatching and answering phones as needed.
  • Assist with the development, review, and adjustment of bus routes to support efficient transportation operations.
  • Ability to effectively manage multiple phone lines, prioritize and appropriately limit call duration, place calls on hold, and simultaneously monitor radio communications.
  • Maintain appropriate, professional, interaction and relationships with coworkers and colleagues.
  • Participate in district and campus staff development programs that improve job-related skills.
  • Keep informed of and comply with state, district, and school regulations, including daily attendance, punctuality, and confidentiality.
  • Regularly monitor district email for pertinent communication.
  • Participate in meetings, training sessions, and seminars as scheduled.
  • Daily attendance at work and punctuality are essential functions of the job.

Working Conditions

Tools/Equipment Used: Operate school bus; multiple phone lines, PTT phone; safety equipment including but not limited to flares, reflective signs, and fire extinguisher.

Posture: Prolonged sitting; frequent standing and twisting; occasional kneeling/squatting, bending, stooping, and pushing/pulling.

Motion: Prolonged driving; moderate walking; frequent climbing stairs, grasping/squeezing, wrist and shoulder flexion/extension, and reaching.

Lifting: Limited light lifting and carrying (under 45 pounds) on a daily basis.

Environment: Frequent exposure to extreme hot and cold temperatures, noise, and vehicle fumes; work around moving vehicles; regularly work irregular hours and occasionally work prolonged hours.

Mental Demands: Work with frequent interruptions. Maintain emotional control under stress.
