Job summary

Gosnaphop is seeking a Transportation Office Administrator for an overnight distribution setting in Romeoville, IL. This 100% onsite role focuses on handling transportation paperwork, data entry, and document management across multiple internal systems.

The ideal candidate will be highly organized, precise with large data sets, and comfortable in a busy office environment. The contract through February offers potential extension and possible permanent hire depending on performance and business

Qualifications

  • High school diploma or equivalent required.
  • At least 1 year of professional experience in logistics, transportation, scheduling, tracking/tracing, freight brokerage, or a related field.
  • Previous professional office/administrative experience required.
  • Intermediate Microsoft Excel skills.
  • Comfortable working with spreadsheets and large amounts of numerical information.
  • Ability to organize, sort, copy, and manipulate data in Excel.
  • Familiarity with basic Excel functions; experience with PivotTables and VLOOKUPs is a plus.
  • Understanding of transportation documentation, including Bills of Lading (BOLs).
  • Strong attention to detail and data accuracy.
  • Excellent organizational and time-management skills.
  • Dependable and consistent attendance.
  • Ability to remain calm and productive in a high-volume environment.
  • Positive, team-oriented attitude.
  • Comfortable performing repetitive administrative tasks for extended periods.
  • Must be comfortable working in a warehouse/distribution-style office environment.

Responsibilities

  • Process and organize a high volume of transportation and shipping documentation.
  • Review, scan, copy, upload, and maintain delivery and pickup records.
  • Enter and update shipment information across internal systems.
  • Review data for accuracy and investigate discrepancies.
  • Track shipments and monitor pickup and delivery status.
  • Perform data entry related to routes, bills, pickup dates, purchase orders, and shipment notes.
  • Utilize Microsoft Excel to organize, review, and manipulate data.
  • Read and interpret spreadsheet information to identify missing or incorrect data.
  • Manage a high volume of emails and respond to requests in a timely manner.
  • Assist with vendor communication and transportation-related customer service needs.
  • Communicate with drivers by phone when necessary.
  • Help manage additional paperwork following weekends and periods of increased volume.
  • Maintain accurate records while prioritizing multiple incoming requests.
  • Work closely with transportation, dispatch, and administrative team members.
  • Follow established procedures while identifying opportunities to resolve issues independently.

Job Description
