Job summary

Qualifications

Why does the job exist?

This position will report to the Director of Workforce Development (WFD) providing support to all training activities. This position will work directly with WFD leadership to organize, track, and monitor all trainings agency wide. This position will provide support to all training activities by overseeing participant registration, organizing meeting locations for capacity, ensuring training materials are printed/ delivered, ensuring technology is in working order, and answering all inquires via phone/ emails. At times, this position will need work independently as they will be charged with making contact with other state agency staff to troubleshoot issues that may arise.

How does it get done?

Training: (75%)

  • Maintain and organize training dates, locations, and provide follow-up to participants and presenters.
  • Maintain shared calendars and master training schedules for division.
  • Send calendar invites and reminders to trainers and participants promptly and consistently.
  • Ensure training rooms are set up with necessary materials.
  • Help participants enroll in training courses and troubleshoot access issues. Will maintain strong working relationships with fellow agency contacts to ensure timely responses to issues.
  • Handle training-related emails
  • Track attendance and completion records.
  • Ensure training surveys are distributed and collected for each training.

Office Operations: (25%)

  • Respond to phone call and email inquiries in a timely manner.
  • Oversee and initiate supply orders
  • Organize, coordinate, and process travel requests; collaborate with ASD staff when necessary.
  • Coordinate and order training materials. Monitor inventory of training documents to ensure materials are delivered timely balancing effective use of funding and budget resources.
  • Monitor/Coordinate website updates for training documents/dates
  • Distribute agency-wide training announcement, ensure consistent and timely distribution. Collaborate with agency IT and Communications staff.
  • Develop working relationships with key ASD, IT, and Facilities staff so that issues/problems can be addressed in a timely manner. Deployment of trainings should be timely, and accurate.
Who are the customers?
  • Experience coordinating or supporting training programs or events
  • Background in customer service or client support, especially in a human services or education setting
  • Experience managing schedules, calendars, and communications for multiple stakeholders
  • Familiarity with tracking attendance, maintaining records, and handling administrative tasks
  • Experience troubleshooting basic tech/access issues related to Online platforms or systems
  • Experience collaborating with internal departments like IT, facilities, or admin support
  • Knowledge of social services

Associate's Degree and two (2) years of experience program administration or project management in areas related to the purpose of the position. Any combination of education and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.

Employment Requirements

Must possess a current and valid Driver's License. Pre-employment background investigation is required and conditional pending results.

Working Conditions

Work is usually performed in an office setting, with extensive exposure to Visual/Video Display Terminal (VDT), personal computer, tablet, printer, calculator, cellphone, copy machine, scanner, keyboard, and telephone usage. Occasional travel, working extra hours, working on weekends and holidays.
