Why does the job exist?

This position exists to coordinate and support the implementation of the agency's workforce pipeline programs, including Title IV-E practicum placements, internships, and educational leave opportunities, under the direction of program leadership. The role ensures that individuals at different stages of the workforce lifecycle, students entering through practicum and internships, and current employees advancing through educational leave, are effectively supported through structured, high-quality experiences aligned with agency needs. Through coordination, communication, and facilitation of program activities, this position helps ensure that academic partnerships, student experiences, and employee development opportunities translate into a stronger, more sustainable workforce. While this position holds responsibility for executing all assigned duties, it operates within a structured support model in which the broader Workforce Development Bureau provides subject matter expertise and operational support across key functional areas, including financial processes, administrative coordination, evaluation, training, instructional design, and facilitation.

How does it get done?
  • Supports the implementation and day-to-day coordination of Title IV-E practicum programming as it pertains to student placements within the agency
  • Coordinates placement logistics for practicum students and interns across the agency based on workforce needs and capacity
  • Assists in aligning academic requirements, Title IV-E expectations, and agency practice standards within placements
  • Maintains consistent processes and documentation to support quality, compliance, and scalability of student placements
  • Monitors program activities and elevates trends, challenges, and opportunities for improvement to leadership
  • In partnership with the Training Evaluator, tracks basic data related to student placements, completion rates, and hiring outcomes, with evaluation activities supported by the Training Evaluator and the employee's supervisor to ensure alignment with bureau standards and consistency in data interpretation
  • Uses data and feedback to support evaluation of program effectiveness and identify areas for improvement
  • Supports alignment of internship efforts with broader workforce needs and recruitment strategies

Educational Leave Program Coordination

  • Supports coordination of the agency's educational leave program for employees pursuing further education
  • Tracks participation, timelines, and documentation related to employee involvement, with administrative tracking processes supported by the Training Administrator and guidance from the employee¿s supervisor
  • Assists in ensuring alignment between educational pursuits and workforce development priorities

Serves as a point of contact for employees and supervisors regarding program processes and requirements, with any financial or contract related components supported in collaboration with the Training Administrator and the employee¿s supervisor University Partnerships & Stakeholder Coordination.

  • Supports relationship management with university partners, including Title IV-E programs
  • Coordinates communication between the agency, academic institutions, and internal stakeholders
  • Assists with aligning expectations related to student placements and program requirements

Onboarding, Training & Support

  • Coordinates onboarding and orientation logistics for practicum students, interns, and supervisors
  • Develops and distributes tools and resources to support effective supervision and learning experiences, with training development and instructional design supported by the bureau¿s instructional design and training team in coordination with the employee's supervisor
  • Provides ongoing coordination and support to address questions and ensure smooth program operations, with facilitation and training delivery support available through the broader training team as needed

Program Support, SOPs & Compliance

  • Assists in the development and maintenance of standard operating procedures (SOPs) for practicum, internship, and educational leave programs, with SOP development and procedural updates supported and reviewed by the employee's supervisor to ensure alignment with agency expectations
  • Supports compliance efforts with Title IV-E requirements, university agreements, and agency policies

Coordinates documentation, tracking, and administrative components of program operations, with administrative processes supported by the Training Administrator and broader bureauinfrastructure as needed Recruitment, Outreach & Program Promotion

  • Participates in career fairs and outreach efforts to promote internship and practicum opportunities
  • Assists in recruitment-related activities that support workforce pipeline development
Ideal Candidate

The ideal candidate is highly organized, detail-oriented with the ability to coordinate programs involving multiple participants, timeliness, requirements, and stakeholders. The candidate should be able to manage competing priorities, follow activities through completion, maintain accurate documentation and support consistent day-to-day program operations.

The ideal candidate should posses strong written and verbal communication skills and be able to build productive working relationships with internal staff, supervisors, employees, students, and external partners. the candidate should be comfortable serving as a point of contact, explaining processing and requirements, coordinating information among stakeholders, responding to questions and ensuring appropriate follow up.

High School diploma or equivalent and two (2) years of experience as a social work assistant and/or in social or community coordination, working with communities, working on health or social service related matters, social work/case management experience, and/or behavioral health care. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Must possess and maintain a valid Driver's License. Pre-employment background investigation is required and is conditional pending results.

Working Conditions

Work is performed in an office setting: late hours, weekends, on-call and callback work may be required. Will be exposed to regular periods of video display terminal and keyboard usage and stressful situations. Travel is required. Possible exposure to irate clientele. Incumbent will work under stress and frequent time constraints.
