Job summary

NYPCC in New York, NY is seeking a Training Assistant to support the Training Department’s daily operations, moderating sessions, managing the shared inbox, and assisting with training materials and events. You’ll coordinate onboarding activities and maintain training records across ADP, SharePoint, and LearnUpon.

Responsibilities include designing virtual trainings, tracking attendance, producing reports, and ensuring compliance.

Qualifications

  • Bachelor’s degree required in a related field.
  • 1–2 years’ experience in professional development or HR.
  • Experience with a Learning Management System (LMS) preferred.

Responsibilities

  • Provide support for the Academy training cycle, scheduling internal and external trainings, workshops, and continuing education.
  • Assist with designing, developing, and implementing engaging virtual training programs.
  • Prepare and distribute training announcements, reminders, and instructions clearly and timely.
  • Support trainers with training materials, presentations, and attendance documentation.
  • Create and design training presentations and marketing materials, including flyers.
  • Moderate NYPCC Academy trainings, meetings, and support groups.
  • Track and record training attendance for payroll processing and update records in HRIS.

Job Description

The Training Assistant supports the day-to-day operations of the Training Department by moderating training sessions and meetings, managing the shared department inbox, andassistingwith training-related requests such as the creation of flyers, documents, catalogs, and PowerPoint presentations.

This roleassistswith coordinating onboarding activities, training events, and new hire orientation sessions, ensuring a smooth and organized experience for all participants. The Training Assistantis responsible fororganizing, uploading, andmaintainingtraining records and materials across ADP, SharePoint, and the Academy page on The Link, and supports the development and creation of training courses and learning materials inLearnUpon.

Additionally, this roleassistswith quarterly and annual training audits by reviewing records, tracking completion, and helping ensure compliance with organizational and regulatory requirements. Basic technical support during training events and troubleshooting of virtual learning platforms is also within the scope of this position.

Through strong administrative support and attention to detail, the Training Assistant plays a key role in ensuring the departmentoperatesefficiently and that staff across the agency have access to the learning resources they need to thrive.

Responsibilities:

  • Provide support for theAcademy training cycle, including coordinating and scheduling internal and externaltrainings, workshops, and continuing education opportunities for staff at all levels.
  • Assistwith designing, developing, andimplementingengagingvirtual training programs using instructional design principles to ensure content is interactive, accessible, and aligned with organizational goals.
  • Prepare and distribute training announcements, reminders, and instructions in a clear andtimelymanner.
  • Support trainers and facilitators byassistingwith training materials, presentations, and attendance documentation.
  • Create and design training presentations and marketing materials, including flyers, for Academy programs.
  • Moderate NYPCC Academytrainings, meetings, and support groups.
  • Track and record training and meeting attendance for payrollprocessing andupdate employee training records in the HRIS.
  • Createtrainingsand manage registration within the Learning Management System (LMS), whilemaintainingaccuraterecords in LMS, SharePoint, and ADP.
  • Assistin the administration of the LMS by testing course functionality,identifyingtechnical issues, and troubleshooting problems to ensure a smooth learning experience for staff and participants.
  • Monitor, track, and report on mandatory compliance training, following up with management to ensuretimelycompletion.
  • Collect, track, and analyze training attendance, outcomes, and feedback data to generate actionable insights,identifytrends, and support continuous program improvement.
  • Support new employee onboarding by delivering engaging, thorough, and informative training experiences including the coordination of onboarding, New Hire Orientation and Work Ethics when needed.
  • Provide administrative support to theTrainingSpecialist team as needed.
  • Collect and analyze feedback to assess training effectiveness and recommend improvements.
  • Promote a positive, growth-oriented workplace culture by encouraging continuous learning, recognizing staff achievements, and supporting employee recognition initiatives.
  • Provide weekly updates on project and task status.
  • Generate reports for leadership, HR, and auditors asrequired.
  • Ensure compliance with state and federal labor laws, rules, and regulations.
  • Collaborate with the Training Department to provide administrative support andassistwith ad-hoc HR projects.
  • Perform otherduties asassigned by Supervisor.
Qualifications

Education & Experience

  • Bachelor’s Degree in Psychology, Industrial-Organizational Psychology, Human Resources, or a related field
  • 1–2 years of experience in professional development or human resources
  • Experience working with a Learning Management System (LMS)

Technical Skills

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Skilled in Canva,DocuSign, SCORM and other digital platforms
  • Creative with flyer design, branding, and social media content

Communication & Interpersonal Skills

  • Excellent verbal and written communication skills,timelyand effective
  • Strong interpersonal skills with the ability to present confidently
  • Able to interact effectively across all levels and diverse cultures
