Description

AVA Law Group is seeking a Training Administrator to lead and build the firm's training and enablement function. This role will drive the development of structured onboarding, role-based training programs, policy and procedure management, and firmwide training compliance.

This is an opportunity to build a training program from the ground up. The Training Administrator will partner with department leaders and subject matter experts to transform operational knowledge into consistent, scalable learning experiences that support employee success and operational excellence across all offices. The role owns training design, delivery, scheduling, documentation, and reporting, ensuring training is standardized, adopted, and verifiable throughout the organization.

This is an on-site position in Billings, MT.

POSITION SUMMARY:

The Training Administrator is responsible for leading and managing the training and enablement function. This role develops, delivers, and maintains firmwide training programs, structured onboarding pathways, and learning resources that support employee performance, operational consistency, and policy compliance across all offices. Working closely with department leaders and subject matter experts, the Training Administrator translates business processes into effective training experiences, coordinates training delivery, maintains training records and compliance documentation, and ensures employees receive consistent, measurable, and role-specific training. Success in this role requires strong organization, instructional design, communication skills, and the ability to build scalable programs that support employee development and operational excellence.

KEY RESPONSIBILITIES:
  • Serve as the firm's lead trainer, designing and delivering onboarding for new hires, refresher training, and update-based training across all roles.
  • Build and administer the firm's training platform in Paylocity, including course setup, assignments, and completion tracking.
  • Design and implement a structured onboarding program, replacing the current shadow-and-go approach with deliberate, role-based training tracks.
  • Develop role‑specific training tracks and materials in coordination with department leads, drawing content from internal subject‑matter experts.
  • Translate firm processes and procedures into clear, role‑specific training materials, quick reference guides, and checklists.
  • Coordinate and deliver recurring mandatory trainings, including facilitating sessions where process owners present their own procedures.
  • Own the firm policy library: drafting, formatting, version control, approval routing, and centralized storage.
  • Maintain training compliance records: track who was trained, on what, and when, producing documented, auditable proof of completion.
  • Monitor employee proficiency through practical demonstrations and evaluations, and sign off on training completion where required.
  • Partner with leadership to identify training gaps and build toward supervisor and management development programs as the function matures.
  • Maintain consistency of training materials and policy across all office locations.
KEY SKILLS:
  • Exceptional teaching and training skills, with the ability to engage diverse audiences and adapt delivery to different roles.
  • Strong instructional and organizational ability, with a talent for turning complex processes into clear, teachable material.
  • Excellent written and verbal communication for training delivery, policy drafting, and cross‑department collaboration.
  • Comfort facilitating training sessions and holding employees and managers accountable to completion.
  • High attention to detail and strong record‑keeping discipline, particularly around compliance documentation.
  • Self‑motivated and able to build a function independently, from platform setup through program rollout.
  • The highest level of discretion and confidentiality when handling personnel and policy information.
MINIMUM QUALIFICATIONS:
  • Associate or bachelor’s degree in a related field preferred.
  • Minimum 3 years of relevant experience in training, learning and development, instructional design, or process development.
  • Proficiency with Microsoft Office Suite; experience with a learning management system or HR platform (Paylocity a plus).
  • Demonstrated ability to build training materials and deliver training to adult learners.
  • Experience leading peer training, onboarding new hires, or creating instructional documentation preferred.
  • Familiarity with legal, professional services, or administrative office environments preferred.
  • Must be able to read, comprehend, and follow written and verbal instructions.
  • Must be willing to travel between office locations for training as needed.
  • Must hold a valid driver's license.
PHYSICAL REQUIREMENTS:
  • Prolonged periods of sitting.
