JOB SUMMARY:

The Trademark Administrator II is responsible for assisting attorneys in the preparation of trademark prosecution (foreign and domestic) including foreign opposition and cancellation proceedings. In addition, the Trademark Administrator is responsible for client and matter opening, client data management, and additional responsibilities as needed.


ESSENTIAL FUNCTIONS:


  • Prepares and files U.S. trademark applications and related prosecution documents for filing in accordance with USPTO and WGS standards.

  • Prepares and files International Applications and Subsequent Designations in accordance with USPTO and WGS standards.

  • Prepares and files responses to Office Actions and Responses to Notices of Irregularities for electronic filing to resolve informalities (e.g., ID amendments, disclaimers, suspension inquiries, extension requests, etc.).

  • Prepares and file Statements of Use, Extensions of Time, and Power of Attorney documents for electronic filing via TEAS.

  • Drafts correspondence to foreign counsel instructing new trademark application filings and other prosecution related instructions or tasks.

  • Manages attorney foreign and domestic docket, including foreign opposition/cancellation matters.

  • Coordinates execution, notarization, and legalization of documents.

  • Reviews incoming correspondence and take necessary action.

  • Maintains accurate and current client information and data within internal databases and systems.

  • Performs general administrative tasks including but not limited to entering billable time, submitting conflict checks and new matter opening requests.

  • Participates in pilot testing programs as requested.

  • Assists and supports group/department manager with special projects/requests.

  • Takes on additional responsibilities as needed and/or assigned.


QUALIFICATIONS:


  • Bachelors’ degree and minimum of three to five (3-5) years of trademark experience in a law firm or corporate setting.

  • Comprehensive knowledge of trademark procedural requirements relating to U.S. and foreign practice.

  • Highly proficient in MS Outlook, Word, and Excel as well as basic computer and database management skills.

  • Exceptional oral and written communication skills.

  • Proven interpersonal skills and ability to work effectively with difference levels of constituencies both as an individual contributor and in a team setting.

  • Exceptional time management, prioritization, problem-solving, and organizational skills and proven ability to work effectively in a high-pressure environment.

  • Expert knowledge of legal terminology, rules, regulations, and procedures specific to assigned practice area.

  • Highly flexible with a capacity to respond calmly, efficiently, and effectively in stressful situations.

  • Punctual and reliable and able to meet set deadlines and work effectively under pressure.

  • Demonstrated ability to handle multiple tasks simultaneously, and able to prioritize tasks in a very efficient manner.

  • Strong analytical thinker.

  • Ability to maintain confidentiality of matters and other firm business information.

  • Promotes a positive work environment, works collaboratively with others.
