Job summary

Sacbar is seeking a Golf Tournament Coordinator to plan, organize, and execute golf tournaments and events at the club. The role involves coordinating with members, guests, vendors and staff from concept to execution, ensuring top-notch service and smooth event flow.

The coordinator will oversee registration, pairings, scoring, and awards, develop timelines, and act as the main contact for participants. This position requires outdoor work, strong multitasking, and excellent customer service.

Qualifications

  • High school diploma or equivalent.
  • 2+ years of experience in event coordination within golf or country club setting.
  • Bachelor's degree preferred in Sports Management, Event Planning, Hospitality, or related field.
  • Ability to manage multiple events and deadlines simultaneously.
  • Ability to negotiate contracts and manage vendor relationships.
  • Proficiency in Microsoft Office, golf tournament software, and social media platforms.
  • Ability to maintain confidentiality of proprietary information and sensitive employee matters.
  • Ability to work outdoors with exposure to extreme temperatures and humidity.

Responsibilities

  • Oversee planning of golf tournaments including member, charity, and corporate events.
  • Develop detailed event timelines for registration and staffing.
  • Communicate schedules, rules, and instructions to participants.
  • Work with Head Golf Professional/Director of Golf on formats, pairings, scorekeeping.
  • Serve as primary contact for participants and handling requests.
  • Ensure high levels of member and guest satisfaction.
  • Collaborate with marketing to promote tournaments via newsletters and social media.
  • Create promotional materials such as flyers and emails.
  • Oversee post-event cleanup and inventory management.
  • Conduct post-event reviews to identify improvements.
  • Distribute tournament results and reports to participants and club leadership.
  • Coordinate with outside vendors for catering, trophies, signage, and entertainment.
  • Work with golf operations, staff, and grounds to ensure success.
  • Create and manage tournament budgets and track revenue/expenses.
  • Ensure invoices are processed timely.
  • Assist with other tasks as needed.

Overview

The Golf Tournament Coordinator is responsible for planning, organizing, and executing golf tournaments and events at the club. This role involves working closely with members, guests, vendors, and staff to manage all aspects of tournaments, from initial concept to final execution. The Coordinator oversees event logistics, including registration, pairings, scoring, and award ceremonies, while maintaining excellent communication and a high level of customer service.

Reports directly to the Head Golf Professional.

Experience Required
  • High school diploma or equivalent.
  • Minimum of 2 years of experience in event coordination within a golf or country club setting.
  • Preferred bachelor\'s degree in Sports Management, Event Planning, Hospitality, or a related field.
  • Ability to manage multiple events and deadlines simultaneously.
  • Ability to negotiate contracts and manage vendor relationships.
  • Proficiency in Microsoft Office, golf tournament software, and social media platforms.
  • Ability to maintain confidentiality of proprietary company information and sensitive employee matters, except as expressly authorized.
  • Ability to work outdoors with frequent exposure to extreme hot or cold temperatures and humidity.
  • Ability to sit, stand, walk, climb ladders, squat, kneel, reach, grasp, push, pull, twist, bend, talk, hear, and see.
  • Ability to lift and carry up to 100 lbs.
  • Flexibility to work additional hours as needed, including weekends and holidays.
Essential Responsibilities
  • Oversee the planning of golf tournaments, including member tournaments, charity events, and corporate outings.
  • Develop detailed event timelines covering operational aspects such as registration and staffing.
  • Communicate with tournament participants regarding schedules, rules, and special instructions.
  • Work with the Head Golf Professional/Director of Golf to create tournament formats, pairings, and scorekeeping systems.
  • Serve as the primary point of contact for tournament participants, addressing questions, concerns, and special requests.
  • Ensure a high level of member and guest satisfaction throughout events.
  • Collaborate with the marketing team to promote tournaments and events through newsletters, social media, and other channels.
  • Assist in creating promotional materials such as flyers, email announcements, and event brochures.
  • Oversee post-event clean-up and inventory management.
  • Conduct post-event reviews to identify areas for improvement for future tournaments.
  • Compile and distribute tournament results and reports to participants and club leadership.
  • Coordinate with outside vendors for tournament services, including catering, trophies, signage, and entertainment.
  • Work closely with the golf operations team, club staff, and grounds maintenance to ensure a successful event.
  • Create and manage tournament budgets, including tracking revenue, expenses, and participant fees.
  • Ensure all invoices are processed accurately and in a timely manner.
  • Assist others as needed and take on additional tasks assigned by management.
  • Follow all company, club, and department policies, procedures, and instructions.
  • Maintain professionalism and a commitment to excellence in interactions with members, colleagues, and staff.
  • Follow safe working practices and comply with safety guidelines.
  • Take initiative in personal and professional growth and maintain required certifications relevant to the role.
  • Address and resolve challenges using available resources and work with regional and corporate teams to support club operations.
  • Attend daily briefings and actively engage in required activities to contribute to team success.
