We are looking for a Total Rewards Manager for our growing team.

This position is hybrid in Sedro-Woolley, Washington.

DEPARTMENT SUMMARY

The Total Rewards Manager leads the company’s benefits, compensation, and leave administration functions while remaining directly engaged in day-to-day work alongside a small team of direct reports. This role owns the development and maintenance of company salary bands and owns participation in and analysis of salary surveys, presenting market findings and recommendations to leadership for final decision. The manager participates with the VP of Human Resources in benefits contract negotiations and renewals and owns the audit processes for the ESOP, 401(k), and benefit vendor programs. This role ensures compliance with federal laws (FMLA, COBRA, ERISA, ACA) as well as applicable state and local regulations across all states in which the company operates. The ideal candidate leads by example—coaching direct reports, educating employees, administering programs, liaising with payroll, carriers, and vendors, and acting as the subject-matter expert on compensation, benefits, and leave policies, ensuring smooth operations and high employee satisfaction.

ROLES AND RESPONSIBILITIES
  • Serve as a hands-on working manager: lead, coach, and develop a small team of direct reports while personally performing day-to-day benefits, compensation, and leave administration work
  • Plan, prioritize, and delegate team workload; provide training, performance feedback, and development opportunities to direct reports
  • Develop, maintain, and administer company salary bands and pay structures; recommend adjustments for leadership approval (final compensation decisions rest with executive leadership)
  • Own company participation in salary surveys; conduct market benchmarking and pricing analyses and present findings and recommendations to the VP of Human Resources and leadership
  • Support annual merit, market adjustment, and incentive review cycles with compensation data, modeling, and analysis
  • Conduct FLSA classification reviews and internal pay equity analyses to support compliant, competitive pay practices
  • Oversee administration of all employee benefits programs, including medical, dental, vision, life, disability, ESOP, and 401(k), covering enrollments, COBRA eligibility, terminations, benefit changes, beneficiary updates, and claims
  • Participate with the VP of Human Resources in benefits contract negotiations, renewals, and vendor selection; prepare analyses and recommendations (the VP of Human Resources leads contract negotiations)
  • Own the audit processes for the ESOP, 401(k), and benefit vendors: coordinate annual plan audits, manage auditor and vendor documentation requests, verify enrollment and contribution data, and drive timely remediation of findings
  • Plan and lead open enrollment and benefits information sessions; educate employees on plan provisions and changes
  • Oversee leave administration across all states of operation, including FMLA, state paid family and medical leave programs, paid sick leave, family care, domestic violence leave, and pregnancy accommodations; serve as subject-matter expert coordinating state and federal leaves and communicating employee rights and obligations
  • Ensure accurate data in benefits administration platforms and HRIS for enrollment, payroll deductions, and coverage updates; notify payroll of benefit changes promptly
  • Serve as primary escalation point and liaison with insurance carriers, brokers, and third-party administrators; review and resolve claims and service issues
  • Review and approve invoices from carriers and third-party administrators; reconcile billing discrepancies through coordination with finance and vendors
  • Maintain records of leave usage, benefit enrollment, claims, premium deductions, and compensation data in compliance with retention and privacy requirements
  • Ensure compliance with ERISA, ACA, COBRA, and HIPAA requirements, including required filings, notices, and disclosures
BASIC QUALIFICAITONS
  • Bachelor’s degree in human resources or related field required
  • PHR/SPHR, SHRM-CP/SCP, CEBS, or CCP certification preferred
  • 5+ years of progressive benefits and compensation experience, including leave management (PFML, FMLA, COBRA, LTD, STD), required; prior supervisory or lead experience strongly preferred
  • In-depth knowledge of multi-state leave laws, including state paid family and medical leave programs, paid sick leave, domestic violence leave, and pregnancy accommodations, plus federal regulations (FMLA, ADA)
  • Demonstrated experience with salary survey participation, market pricing, and salary structure design and administration required
  • Experience supporting ESOP, 401(k), and/or benefit plan audits (including Form 5500 filings and nondiscrimination testing) strongly preferred
  • Must have strong Excel, MS Word, PowerPoint, and MS Office experience
  • Must have strong customer service skills and the ability to multitask
  • Must possess the ability to adapt to sudden changes in schedule and consistent interruptions
  • Must be able to work under pressure and in stressful situations
  • Position requires effective oral and written communication skills in the English language
  • Must exhibit effective time management by assessing and prioritizing tasks and projects on a daily basis
  • Other duties as assigned
  • Due to our ITAR and EAR regulations, applicants must be a U.S. Citizen only with no citizenship of another country
  • This position may require the ability to obtain a U.S. Secret Security Clearance (U.S. Citizenship Required). Janicki will assist with gaining this access once employed. Special Access Program or other Government Access Requirements are mandatory for this position and requires candidate agreed to enter a Continuous Evaluation program
DETEAILED WAGE INFORMATION

Wage range for this role is between $145,000 - $190,000, plus benefits and eligibility for a discretionary bonus. Employees can also receive additional pay for off-shifts, offsite work, or access assignments. The range provided is Janicki's estimate of base compensation for this role. Actual pay offered will be based on job-related and nondiscriminatory factors such as experience, location, education, training, skills, and abilities.
