Position Summary

This is a role based in The Bronx, New York State.

The TMS & Spravato Clinic Coordinator is responsible for administering Transcranial Magnetic Stimulation (TMS) and Spravato treatments to patients with depression and other psychiatric disorders under the supervision of a licensed provider. This role ensures safe and accurate delivery of Interventional therapy while providing positive, compassionate, and professional experience for patients throughout their treatment journey.

The Clinical Coordinator plays a dual role in providing high-touch patient care and ensuring smooth administrative operations in a behavioral health clinic. This position involves facilitating the full treatment journey for patients receiving Transcranial Magnetic Stimulation (TMS) and intranasal Esketamine (Spravato), while also managing administrative responsibilities such as scheduling, checking in patients, collecting payments, and maintaining accurate records.


Key Responsibilities:

- Administer TMS treatments per physician orders and established protocols.

- Monitor patients during and after treatment for safety and side effects.

- Document treatment sessions in the electronic health record (EHR) system.

- Provide emotional support and reassurance to patients throughout their treatment course.

- Maintain cleanliness and safety of treatment rooms and equipment.

- Report any technical issues, patient concerns, or deviations from protocol to the supervising provider.

- Assist with Administrative tasks, including checking in patients, collecting co-pays, and scheduling appointments.

Clinical Coordination & Patient Support

- Guide patients through the intake, treatment, and follow-up phases for TMS and Esketamine therapy.

- Provide education about treatment processes, expectations, and safety protocols.

- Monitor patients during treatment sessions, assist with pre-/post-treatment assessments, and report concerns to the clinical team.

- Ensure all required clinical documentation is completed and filed accurately.

-Assist with gathering insurance information and verifying coverage for TMS and Spravato.

- Help ensure pre-authorizations are initiated and followed up on in collaboration with the billing team.

- Report daily patient updates, safety observations, and compliance concerns.

- Support clinic flow by helping coordinate room readiness and daily schedules

Qualifications:

- High School diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

- Healthcare, psychology, neuroscience, or certified medical assisting background preferred.

- Prior experience in a mental health or medical setting is highly desirable.

- Ability to follow detailed clinical protocols and safety guidelines.

- Excellent interpersonal and communication skills.

- Strong attention to detail and documentation accuracy.

- Basic proficiency with computers and electronic health records.

- Fluent in English and Spanish
