Position Summary

This role is based in The Bronx, New York State.

The TMS & Spravato Clinic Coordinator administers Transcranial Magnetic Stimulation (TMS) and Spravato treatments to patients with depression and other psychiatric disorders under the supervision of a licensed provider. The role ensures safe and accurate delivery of therapy while providing a positive, compassionate, and professional experience for patients throughout their treatment journey.

The Clinical Coordinator provides high-touch patient care and manages administrative operations in a behavioral health clinic. Responsibilities include facilitating the full treatment process for TMS and intranasal Esketamine (Spravato), scheduling, patient check-in, payment collection, and maintaining accurate records.

Key Responsibilities:
  • Administer TMS treatments per physician orders and protocols
  • Monitor patients during and after treatment for safety and side effects
  • Document treatment sessions in the electronic health record (EHR) system
  • Provide emotional support and reassurance to patients
  • Maintain cleanliness and safety of treatment rooms and equipment
  • Report technical issues, patient concerns, or protocol deviations to the supervising provider
  • Assist with administrative tasks, including patient check-in, co-pay collection, and scheduling
Clinical Coordination & Patient Support
  • Guide patients through intake, treatment, and follow-up phases
  • Provide education about treatment processes, expectations, and safety protocols
  • Monitor patients during sessions, assist with assessments, and report concerns
  • Ensure clinical documentation is complete and accurate
  • Gather insurance information and verify coverage for TMS and Spravato
  • Initiate and follow up on pre-authorizations with the billing team
  • Report daily patient updates, safety observations, and compliance concerns
  • Coordinate clinic flow with room readiness and schedules
Requirements
  • High School diploma or equivalent required; Associate's or Bachelor's degree preferred
  • Healthcare, psychology, neuroscience, or certified medical assisting background preferred
  • Prior experience in mental health or medical settings is highly desirable
  • Ability to follow detailed clinical protocols and safety guidelines
  • Excellent interpersonal and communication skills
  • Strong attention to detail and documentation accuracy
  • Basic proficiency with computers and electronic health records
  • Fluent in English and Spanish
