Description

Job Title: TLP Operations Manager

Reports To: Chief Program Officer

General Purpose:

Responsible for coordinating the daily operations of the Transitional Living Program (TLP) houses; provide an environment of consistent structure, guidance, and nurturance in the TLP homes; ensure households are maintained as comfortable living environments for TLP youth; train, schedule, and oversee Resident Support Staff as well as work as a part of the Young Adult Services interdisciplinary team to meet client's needs.

Essential Functions:
  • Maintain a working knowledge of Trauma Informed Care, TBRI ®, Normalcy, Cultural Competence, Compassion Fatigue, Positive Youth Development & Self-Care
  • Participate as a member of the Interdisciplinary Team to meet the physical, emotional, educational, developmental and social needs of young adults. Participation includes but is not limited to staffing, training or other forms of communication
  • Manage relationships with outside vendors to meet the needs of the houses including, but not limited to, the City of Plano, A/C, Plumbing, Appliance, Sprinklers, Lawn Maintenance, Pest Control, etc.

Supervise Residential Support Staff

  • Responsible for hiring & training staff as well as managing schedules
  • Ensure Residential Support Staff understand the direct care responsibilities of their potential duties
  • Provide supervision to Resident Support Staff where residential and house management issues arise
  • Provide and gather feedback for resident reviews on strengths and areas of improvement for each resident
  • Emphasize safety of the young adults through supervision and awareness of Residential Support Staff responsibilities
  • Ensure high standards of documenting and reporting, including keeping forms and proper documentation at houses up to date and easy to access
  • Other reporting and data duties assigned

Responsible for all overseeing Household Operations

  • Coordinate maintenance of the household(s)
  • Oversee all residential home needs. As needs arise, communicate with appropriate support staff to gain the resources needed
  • Work with YAS Program Manager, Volunteer Coordinator & Residential Support Staff to supervise volunteers and work groups
  • Coordinate and facilitate monthly house meetings with residents
  • Coordinate all regularly scheduled household checks as required by the program including but not limited to fire drills, disaster drills, regular car maintenance, household checks, etc.
  • Weekly walk-throughs of the houses to maintain the upkeep of the inside and outside of the properties
  • Responsible for obtaining appropriate supplies for the daily upkeep of homes
  • Oversee Nutritional needs of the homes
  • Create a grocery list for each week
  • Oversee purchasing of the groceries or delegating to RSS or volunteers
  • Coordinate and communicate with all cooking volunteers
  • Develop and maintain all household organization and ensure processes are in place including, but not limited to, household chores, basic household materials, resident schedules, staff schedules, household paperwork, and filing, etc.

Maintain vehicles & vehicle maintenance

  • Oversee and track all vehicle maintenance, registrations and responsibilities that go along with managing auto care
  • Coordinate with The Auto Shop when vehicles need work to be done
  • Maintain upkeep of vehicles including GPS system, key fobs, license & registration, tires, oil changes as well as making sure cars are fueled with gas

Work Groups/Volunteers

  • Encourage, by example and through training, positive interactions, respect, and effective communication with all volunteers
  • Accept donations, including meals, to the TLP program, and ensure proper thank you to donors, as well as getting donations to the appropriate homes
  • Work with Volunteer Coordinator to manage work groups and needs for work groups
  • Coordinate all household needs with volunteer maintenance workers
  • Ensure shopping lists and gift cards/credit cards are ready and available for Go-Getter volunteers
  • Provide Volunteer Coordinator with any correspondence related to volunteers serving at TLP

Regulate daily tasks and requests for staff and clients

  • Communicate with staff regarding events on their shift as well as tasks for them to complete during their shift and approved ride requests.
  • Check and approve appropriate ride requests for clients and communicate with clients accordingly.
  • Participate in weekly and monthly staffing, as well as creating an environment of unity between direct care and program staff
  • Assist with weekly life skills, enrichment & group activities
  • Knowledge of grant requirements/funding sources
  • Work with the City House leadership team to uphold the overall mission of City House
  • Additional tasks/responsibilities as deemed appropriate by supervisor

Qualifications/Basic Job Requirements:

  • Bachelor’s degree & minimum of two years of experience in leadership role with management/supervisory experience in a residential setting
  • Minimum of three-five years of experience working with children and/or young adults in a residential setting with at risk youth/young adult or related experience
  • Passion for ending homelessness
  • Knowledge of issues related to young adult homelessness, abuse, and neglect.
  • Preferred experience maintaining a multi-level budget
  • Effective communication skills, both oral and written. Effective organizational skills. Ability to establish and maintain effective working relationships with other employees and the public as well as volunteers
  • Ability to perform duties with minimal supervision
  • Valid Texas driver's license and insurance and be at least 21 years of age
  • CPR, First Aid and Emergency Behavior Intervention certification must be current or obtained within 60 days of hire and maintained as required
  • This position is funded through state and federal funds and is subject to termination if funding ceases
