Job summary

Bilfinger is seeking a Project Coordinator to support the administrative functions across client, vendor, and department teams in a construction services context. The role includes routing documents, processing subcontractor and vendor forms, and handling clerical duties in an office environment.

Qualifications

  • 2+ years' experience as an Administrative Assistant, Operations Coordinator, Project Coordinator, or similar role.
  • Excellent time management and organizational skills.
  • Ability to work independently as well as in a team.
  • Strong math skills, knowledge of general accounting and bookkeeping processes.
  • Experience in the construction industry desired but not required.

Responsibilities

  • Assist team members in coordinating meetings and tasks, reviewing project documents, and logging and tracking; liaise with Owner Representatives, vendors, and clients on documents and questions.
  • Prepare forms for security access and form requirements; type and send letters, memoranda, and reports; prepare minutes of project meetings; coordinate and maintain files; assemble closeout documentation.
  • Answer telephones, route calls, and take messages; route mail; review accounting and other reports for data accuracy; input financial data and backup documentation into accounting systems.
  • Perform other administrative duties as needed; travel occasionally; sit at a desk and use a computer; lift up to 15 pounds.
  • Office support: order supplies, greet visitors, arrange maintenance and repair of equipment; track materials and quality control coordination.
  • Subcontractor and vendor coordination: prepare invoices, review billings, follow up on payments, obtain submittals, act as point of contact; review and distribute certified payrolls.

The Role

The Project Coordinator is responsible for the administrative functions of an area of responsibility that supports a diverse group of clients, vendors, and departments. Responsible for updating, routing, and maintaining various documents and other clerical correspondence, including the processing of subcontractor and vendor forms and documents.

Qualifications
  • 2+ years' experience as an Administrative Assistant, Operations Coordinator, Project Coordinator, or other similar job capacity
  • Excellent time management and organizational skills
  • Ability to work independently as well as in a team environment
  • Must have strong math skills, knowledge of general accounting and bookkeeping processes desired
  • Experience in the construction industry desired but not required
  • Must demonstrate a strong ability to:
    • Adapt and be flexible to frequent changes in a fast-paced work environment

Responsibilities
  • Project Administration: Assist team members in coordinating meetings and tasks, reviewing project documentation, initial submittal review, logging and tracking; Liaison with Owner Representatives, vendors, and clients on documents, questions, and other tasks; Prepare forms for security access and form requirements; Type and send letters, memoranda, and reports as directed; Prepare minutes of project meetings; Coordinate and maintain physical and electronic files; Assemble closeout documentation; Answer telephones, route calls, and take messages; Route incoming and outgoing mail; Review accounting and other reports for data accuracy; Input financial data and backup documentation into accounting systems; Perform other administrative duties as needed in accordance with standard operating procedures and policies.
  • Office Support: Order and replenish supplies for office; Greet visitors and direct them to appropriate persons; Arrange for maintenance and repair of office equipment; Materials tracking & quality control coordination.
  • Subcontractor, Vendor, and Payment Coordination: Prepare invoices and review billings; Follow up on payments after invoice and supporting documentation is approved; Obtain submittals from Subcontractors and Vendors; Act as Point of Contact on billing and procedural questions and provide Contracting Office with assistance as required; Review and distribute certified payrolls to subcontractor owners for processing insurance paperwork.
  • Perform other duties as assigned
  • Occasional travel may be required
  • Performance of the required job duties will be in an office environment with prolonged periods of sitting at a desk and working on a computer
  • The ability to frequently lift and/or move up to 15 pounds
