Job description

Position Overview

The Residential Production Manager is responsible, but not limited to hiring, training and mentoring the residential title examination staff in Illinois and possibly other states as determined from time to time. The position provides operational leadership for residential title production within the assigned region, ensuring high-quality title examination work, efficient turn times, and adherence to company underwriting guidelines and regulatory requirements. The Residential Production Manager serves as a key liaison between title production staff, underwriting, and senior leadership to ensure consistent service delivery and operational excellence.

Primary Responsibilities
  • Production Management
    • Understand and track Key Performance Indicators(“KPI’s”), i.e. turn times, claims, etc
    • Manage day-to-day production and tracking using measurable accountability
    • Manage worklists and assign files to searchers and examiners
    • Review searcher and examiner production daily, assess whether staff members are meeting KPIs
    • Create and uphold delivery benchmarks for types of products we offer
    • Complete commitments and examinations as time allows to keep current with title production benchmarks
    • Monitor workflow capacity and adjust staffing, workload distribution or outside vendor support to ensure consistent turnaround times and service levels.
  • Participate in interviews of prospective examiners and others as needed
  • Conduct a bi-weekly Teams meeting with searching and examining staff
  • Conduct annual employee reviews and develop individual success plans
  • Assist examiners in obtaining requisite State licenses.
  • Build environment of teamwork and work product pride amongst the title team/network.
  • Provide ongoing coaching, mentorship, and professional development opportunities for examiners and search staff to strengthen title expertise and operational performance.
  • Foster a culture of accountability, collaboration, and continuous improvement within the regional production team.
  • Training & Knowledge Development
    • Develop and maintain state specific training manuals to ensure examiners have up to date examining guidelines
    • Conduct and document weekly audits of files. Work with staff and other leaders in the enterprise to identify specific training needs and create appropriate training plans
    • Identify knowledge gaps and proactively implement training initiatives to strengthen title examination quality and consistency across the team.
    • Collaborate with underwriting leadership to ensure training materials reflect current underwriting guidelines and regulatory requirements.
  • Quality Control & Risk Management
    • Conduct and document weekly audits of files.
    • Maintain high standards of title examination accuracy to minimize claims exposure and support underwriting integrity.
    • Partner with underwriting and claims teams to address title issues, identify recurring risks, and implement corrective action when needed.
    • Ensure compliance with company policies, underwriting requirements, and applicable state regulations.
  • Operational Coordination
    • Work in conjunction with Underwriters in developing and maintaining state specific title clearance procedures, i.e. judgments, affidavits, entity docs, etc
    • Coordinate with other operational departments, including underwriting, escrow, and closing teams, to ensure efficient resolution of title issues.
    • Serve as a regional point of contact for operational questions related to title examination processes and production workflow.
  • Process Improvement & Technology
    • Identify opportunities to improve production workflows, technology utilization, and operational efficiencies within the residential title production process.
    • Assist in the implementation of new systems, tools, or operational initiatives that enhance title production performance and scalability.
Qualifications
  • 5+ years of progressive leadership experience in title, search/exam, or related real estate/financial services industry.
  • Proven track record of managing multi-location production operations with both residential and commercial portfolios.
  • Strong negotiation and contract management skills, along with strong vendor management and relationship-building skills.
  • Deep understanding of compliance requirements, title examination standards, and underwriting best practices in title/search/exam.
  • Exceptional leadership, communication, and change management abilities.
  • Data-driven decision-maker with experience creating and managing KPIs.
  • Active title license in applicable states and ability to maintain licensing requirements.
  • Significant experience in residential title examination, title production, or underwriting operations.
  • Excellent organizational, communication, and problem-solving skills.
