General Description

The Division Testing Support Specialist provides advanced technical and administrative support for testing programs in Chesterfield County Public Schools (CCPS). The Specialist works independently within established procedures and standard practices. Tasks performed are outlined in oral and written instructions, and considerable professional judgment and confidentiality are required.

Job Description

Essential Job Functions:

  • Provides advanced technical assistance, instruction, and onsite support to school staff regarding test administration, troubleshooting, software usage, and compliance with state and local requirements.
  • Collaborates with the assessment team to develop annual training schedules, create training materials, and deliver training sessions to school personnel.
  • Assists with the management of division-wide paper testing logistics, including receiving, redistribution, reconciliation, security, and accurate inventory control of secure and non-secure materials.
  • Works collaboratively with the assessment team to ensure data accuracy, manage user accounts, and facilitate the resolution of test alerts and irregularities.
  • Serves as the primary liaison between the Assessment Office, Special Education staff, and private placement facilities to order, deliver, and process student tests.
  • Responds to inquiries from internal and external stakeholders regarding testing programs and schedules.
  • Provides administrative and general operational support, including maintaining appropriate records, disseminating information as needed, and ordering supplies.
  • Performs other related duties as assigned.

Budgetary Responsibility: This position has no budgetary responsibility.

Report Preparation: Prepares related reports, as requested.

Equipment Operation: Position may require the use of computer and presentation technology, general office equipment, and other specific equipment related to testing.

Contacts: This position has frequent contact with all levels within the division, as well as with external entities, including Virginia Department of Education (VDOE) personnel, assessment vendors, and private placement providers.

Work Direction/Supervision: This position does not supervise others, but may provide general guidance on testing procedures, as needed.

Decision Making: This position functions independently within the context of daily activities. Considerable professional judgment and the ability to maintain confidentiality are required.

Specific vision abilities required by this job include depth perception, distance vision and close vision to see and read a computer screen and printed material with or without vision aids. Physical agility to drive, bend, stoop, sit, climb stairs, walk and reach overhead. May be required to lift materials up to 50 pounds.

Work Environment

The employee regularly works in an office environment. The noise level is typically quiet to moderate. Occasional travel to school locations may be required to provide testing-related support. The noise levels will vary based on location.

Knowledge, Skills, and Abilities

Demonstrated knowledge of state testing protocols, administrative operations, and regulatory compliance. Demonstrated skill in data management, the utilization of spreadsheets, and testing administration software. Demonstrated ability to communicate effectively, both orally and in writing; to collaborate effectively with cross-functional teams, departmental leadership, and external stakeholders; and to manage workflow effectively and efficiently, with a high attention to quantitative detail and accuracy.

Additional Job Requirements
  • Education, training, or experience sufficient to demonstrate the required knowledge, skills, and abilities.
  • Preferred: Experience with the administration and/or support of required federal and state assessments, such as the Virginia Assessment Program.
  • Applicants considered for employment must successfully complete the following background investigations/tests:
    • Federal Bureau of Investigation (FBI) Criminal History Investigation.
    • State Police Criminal History Investigation.
    • Child Protective Services (CPS) Investigation.
    • Tuberculosis Screening/Test.
