Job summary

Transwestern is seeking a Tenant Experience Coordinator to be the face of the tenant relations program in Chicago. The role activates the building by connecting tenants, management, and ownership, with on-site execution of a robust programming calendar.

The ideal candidate is organized, creative, and customer-service oriented, able to design PR material, and comfortable working in a collaborative team. On-site focus, no remote/hybrid options.

Qualifications

• Bachelor's degree in Marketing, Graphic Design, Event Management and/or Hospitality.
• 0–3 years of experience in hospitality, event coordination or related field.

Responsibilities

• Serve as central point of contact for programming in the Reserve Lounge, Parlor, and other amenities.
• Coordinate and present event ideas/calendars; create budget for tenant events.
• Act as go-to person for wellness, relaxation, fun and recreation experiences.
• Collaborate with Management to achieve customer service excellence and high satisfaction.
• Execute events within the approved budget.
• Maintain calendar of tenant birthdays, anniversaries and life events; run gift programs.
• Build relationships with community organizations; procure vendors and equipment.
• Assist with seasonal programming and décor.
• Maintain building directories and publications; order supplies.
• Manage Conference Center schedule and AV, room setups and feedback.
• Communicate room setups to engineers/porters; monitor meetings and no-shows.
• Create advertisements for tenant events for various media platforms.
• Attend community meetings to stay current; send weekly updates and monthly newsletters.
• Maintain Social Media Accounts for the Building.

POSITION SUMMARY:

The Tenant Experience Coordinator (TEC) will be the face of the tenant relations program. The overarching goal of this role is to activate the building by connecting the tenants, the management team, and ownership. With the responsibility of creating a robust progressive tenant program, one can ensure that no two days will be the same in this role!

The Tenant Experience Coordinator should be organized, enthusiastic, connected, able to design graphics/PR material, results oriented, customer service oriented, operationally astute, comfortable working in a team, creative, resourceful, and a self-starter.

This is a dynamic, on-site role that places you at the heart of the action. As a result, an essential function of this position is working on-site. Remote or hybrid options are not available. Being on property allows you to build strong relationships with clients and tenants, respond in real time, and make a visible impact every day.

POSITION ESSENTIAL FUNCTIONS:

• Serve as central point of contact for programming in the Reserve Lounge, the Parlor, FIT@500, assembly areas, public common areas and retail experience.
• Coordinate and present event ideas/calendars to office tower management staff; create budget for tenant events and other programming in amenities areas; management's goal is to have weekly events ranging from an audience of 50-2500 people.
• Leverage your knowledge and passion for event planning and community building to create memorable experiences for our office tenants. You will be our 'go to' person for all things wellness, relaxation, fun and recreation.
• Work collaboratively with the Management team to ensure customer service excellence and deliver our brand promise. Work to achieve beyond exceed satisfaction ratings.
• Responsible for the execution of events within the budget.
• Maintain calendar of tenant birthdays, anniversaries, life events and execute gift programs.
• Maintain relationships with the community and various organizations to seize opportunities for appropriate programming; procure vendors, equipment and giveaways for events/programs such as caterers, live entertainment, fitness instructors, etc.
• Assist with seasonal programming and décor as required.
• Maintain accurate information on directories and other building publications.
• Order supplies for amenities areas as approved by property management.
• Maintain Conference Center schedule, assist users with understanding of various options available and document feedback, monitor cleaning (i.e. carpets, etc.), AV equipment, furniture, etc.
• Communicate room set-ups to building engineers/porters and ensure that they are completed per the client's instructions; monitor meetings for no-shows and cancelations and communicate accordingly.
• Create advertisements for tenant events and other programming for various media platforms (electronic directory, email, print, other signage).
• Attend relevant community meetings to stay current with market happenings.
• Send weekly update emails to tenants as well as monthly newsletters.
• Maintain Social Media Accounts for the Building.

POSITION REQUIREMENTS:

• Preferably a bachelor's degree in Marketing, Graphic Design, Event Management and/or Hospitality Focus.
• 0-3 years of experience in hospitality, event coordination, marketing or related field is desirable.
• Professional demeanor and appearance.
• Excellent people, customer service and communication skills.
• Flexible and adaptable to shifting priorities.
• Strong organizational skills and the ability to multi-task.
• Tech Savvy.
• Proficient in Microsoft Office Suite, Canva, Facebook, Instagram, Twitter, Google Drive, Gmail, iOs technology.

Salary Range $50,000 to $70,000
