Job summary

Responsibilities

  • Lease Administration & Deal Support: evaluate landlord/tenant construction obligations, review LO letters and schedules.
  • Landlord Construction Management: coordinate planning, budgeting, permitting, scheduling, and construction activities.
  • Tenant Coordination: serve as primary contact for tenants, architects, engineers, and contractors.
  • Construction Administration: verify permits, insurance, and project documentation; coordinate site access.
  • Financial Administration: track tenant improvement expenditures and reimbursements.
  • Reporting & Documentation: maintain project milestones, permits, schedules, and close-out docs.
  • Project Close-Out: ensure all obligations are satisfied and collect occupancy docs.

Tenant Construction Manager / Tenant Coordinator

Position Summary

The Tenant Construction Manager / Tenant Coordinator (TCM) is a key member of the Wilder Development Department, reporting directly to the Executive Vice President of Development. This role serves as the primary point of contact for tenant-related construction activities, coordinating both Landlord Work and Tenant Work from lease negotiation through tenant opening and project close-out. The ideal candidate has strong experience in commercial retail construction, tenant coordination, project management, permitting, budgeting, scheduling, and contract administration.

Key Responsibilities
Lease Administration & Deal Support
  • Partner with the Leasing team during LOI and lease negotiations to evaluate landlord and tenant construction obligations.
  • Review and assist with Letters of Delivery (LODs), work letters, construction exhibits, schedules, and delivery matrices.
  • Review lease provisions related to construction, tenant allowances, signage, landlord obligations, and project delivery.
  • Establish realistic construction schedules and milestones.
  • Review utility capacities, storefront configurations, loading requirements, and site-specific project needs.
Landlord Construction Management
  • Coordinate planning, budgeting, permitting, scheduling, and construction activities for landlord work.
  • Collaborate with architects, engineers, contractors, and property management teams.
  • Monitor project schedules and budgets.
  • Participate in preconstruction planning, scope development, value engineering, contractor coordination, and scheduling.
  • Track RFIs, submittals, change orders, pay applications, and project schedules.
  • Identify project risks and recommend solutions.
  • Conduct site inspections and attend construction meetings.
  • Coordinate landlord turnover and project close-out activities.
Tenant Coordination
  • Serve as the primary point of contact for tenants, architects, engineers, consultants, and contractors.
  • Provide tenants with construction guidelines, design criteria, shell drawings, utility information, and construction standards.
  • Develop and maintain project schedules from design through tenant opening.
  • Review tenant improvement plans and signage packages for compliance with lease requirements and design standards.
  • Monitor critical milestones including plan submissions, permits, construction progress, and store openings.
  • Partner with Property Management, Leasing, and Development teams to resolve project issues.
Construction Administration
  • Administer landlord construction rules and tenant design criteria.
  • Conduct preconstruction meetings.
  • Verify permits, insurance certificates, contractor documentation, security deposits, schedules, and required project documentation.
  • Coordinate site access and construction logistics.
  • Monitor compliance throughout construction.
Financial Administration
  • Review tenant improvement allowance reimbursement requests.
  • Verify supporting documentation for reimbursement.
  • Coordinate tenant allowance approvals with executive leadership.
  • Track project expenditures and financial obligations.
Reporting & Documentation
  • Maintain tenant coordination tracking including project milestones, permit status, schedules, project risks, and anticipated opening dates.
  • Prepare regular project status reports.
  • Maintain organized project documentation including drawings, permits, correspondence, meeting minutes, change orders, schedules, and close-out documents.
  • Communicate schedule changes, delays, and budget concerns to stakeholders.
Project Close-Out
  • Confirm completion of all tenant close-out requirements.
  • Coordinate contractor security deposit releases.
  • Collect Certificates of Occupancy, warranties, as-built drawings, lien waivers, equipment manuals, maintenance information, and other close-out documentation.
  • Complete final punch lists and turnover documentation.
  • Ensure landlord and tenant obligations are satisfied prior to project completion.
Qualifications
Required
  • Minimum of 5 years of experience in commercial retail construction, tenant coordination, construction management, owner's representation, development, or project management.
  • Construction field experience.
  • Experience managing design, permitting, scheduling, budgeting, construction, and project close-out.
  • Strong knowledge of commercial retail construction and tenant improvement projects.
  • Ability to interpret architectural, structural, civil, mechanical, electrical, plumbing, and fire protection drawings.
  • Knowledge of building permitting, construction processes, tenant allowances, and landlord/tenant responsibilities.
  • Experience reviewing leases, work letters, tenant design criteria, signage criteria, and construction rules.
  • Strong project management, communication, budgeting, and organizational skills.
  • Ability to manage multiple projects simultaneously.
Preferred
  • Retail shopping center or mixed-use development experience.
  • Landlord-side project delivery experience.
  • Experience reviewing tenant improvement plans and sign packages.
  • Knowledge of commercial leasing and lease administration.
  • Understanding of MEP systems, utilities, fire protection, and life safety systems.
  • Bachelor's degree in Construction Management, Architecture, Engineering, Building Technology, Real Estate Development, or a related field (or equivalent experience).
