ECU Health Physicians is the multispecialty group practice of the Brody School of Medicine, with more than 587 providers and over 700,000 patient visits per year. ECU Health Physicians is comprised of 40 clinical sites in Greenville and 11 outreach clinics throughout the region. This position provides support for the ambulatory leadership team for ECU Health Physicians. This includes the Chief Medical Officer, Executive Director, Senior Director of Nursing, Director, Physician Compensation and Data Analytics and the Manager, Office of Training and Engagement. The complexity of the office structure has increased due to integration. The position will have authority and responsibility working with administration to recognize, define and resolve standard and non-standard problems using policies/procedures and standard operating procedures. The Department of ECU Health Physicians Administration supports the entire practice by assessing the needs of the facility, patients, and staff. ECU Health Physicians Administration works with each clinical department and ECU Health Medical Center to assist and improve clinical operations to produce the highest quality and most compassionate health care to the people of eastern North Carolina while educating the next generation of health professionals to do the same.

Primary Purpose of Position

The temporary Executive Assistant’s responsibilities will range from standard office support to administrative duties requiring decision-making and judgment. Public contact is a major component of this position, both internally and externally. This position will require contact with program staff, managers of other units within the university and hospital organizations, representatives of other state agencies and universities, clients, patients, elected and appointed representatives, and the public. The Executive Assistant will assist in coordinating business functions of ECU Health Physicians Administration, including personnel administration, office coordination, and budget monitoring or management. Other duties include prioritizing organizational needs regarding meetings, timeframes, and deadlines, and exercising delegated authority to represent the administrative team. The Executive Assistant will use judgment and independence to adjust schedules and office matters, attend meetings to take minutes, and stay abreast of and prioritize issues. This position will track and monitor pending issues for follow-up, independently develop agendas for future meetings, and organize and assimilate documents for a variety of meetings. This position will provide exceptional oral and written communication skills, as the assistant will independently assimilate and compose materials. The Executive Assistant will also be expected to analyze and resolve unusual and novel situations based on significant knowledge of organizational activities. The position will have knowledge of strategic goals, organizational practices, and critical policies, laws, rules, and regulations that affect the University’s mission. The Executive Assistant will be responsible for planning and organizing skills, which are essential in day-to-day operations and event planning. The position will work hours that may vary based on organizational and administrative needs.

Minimum Education, Knowledge, Skills, and Experience

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
