Job summary

The University of Chicago is seeking a temporary, full-time administrator in Career Advancement to support the Career Services team for first-year students, master's students, and employer relations programs.

Qualifications

  • A college or university degree required.
  • Demonstrated proficiency with Handshake, Zoom, Outlook and Excel.
  • Proficiency with Microsoft Office suite and presentation tools.

Responsibilities

  • Collect hiring information; track, enter, and update student placements; compile data for recruiting.
  • Run reports and prepare data including appointment progress and employer registration information.
  • Draft professional communications to employers, campus partners, students, and other audiences.
  • Assist with logistics for career programs, including inquiries and troubleshooting.
  • Support events through logistics coordination and planning.
  • Set up and manage Zoom webinars and Handshake postings for career programs and events.
  • Review resumes and cover letters, providing feedback to support career readiness.
  • Track attendance for workshops and programs; create surveys for feedback and data.

Job Summary

This temporary, full-time position is within Career Advancement and provides essential administrative and programmatic support to the Career Services team, including the first-year student, masters, and employer relations programs.

Responsibilities
  • Provide administrative support for the first-year student, masters, and employer relations programs.
  • Collect hiring information; track, enter, and update student placements; and compile data for full-time and internship recruiting.
  • Run reports and prepare data including appointment progress, student placement statistics, employer registration information, job posting activity, and general system usage statistics.
  • Draft professional communications to employers, campus partners, students, and other audiences.
  • Assist with managing logistics related to career programs, including responding to student inquiries and troubleshooting issues as they arise.
  • Support flagship events through logistics coordination and event planning.
  • Conduct audits in the Handshake system and Outlook calendar to ensure data accuracy and integrity.
  • Create flyers and promotional materials for career programs; prepare agendas and briefing documents.
  • Develop PowerPoint presentations for a variety of audiences, including students, faculty, employers, and senior leadership.
  • Assist with setting up meeting spaces for weekly workshops, including room preparation, materials, and technology coordination.
  • Review student resumes and cover letters, providing feedback to support career readiness.
  • Track and record attendance for workshops, programs, and other career events.
  • Create surveys to gather feedback and data related to career programs and student experiences.
  • Review and summarize survey and program data to inform reporting and continuous improvement efforts.
  • Set up and manage Zoom webinars for career programs and events.
  • Post and manage career events in the Handshake platform.
  • Manage and coordinate two cycles of the Job Shadowing Program (Winter Break 2026 and Spring Break 2027), including identifying and working with employer job shadow hosts; promoting the program to students; matching students to hosts; preparing orientation slide decks for student participants; and assessing program outcomes. Manage all communications with employers and students, ensuring timely, professional, and accurate correspondence throughout both program cycles.

Education, Experience or Certifications
Education
  • A college or university degree required.
Technical Knowledge or Skills
  • Demonstrated proficiency with internet-based recruiting platforms, such as Handshake, and Zoom, Microsoft Outlook, and Excel. Learn new technologies quickly.
  • Proficiency with the full Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook.
Working Conditions and Physical Requirements
  • Work occasional evenings as required.
