Job Summary
The Temporary Events Associate provides administrative and programmatic support to the Chicago Booth Office of Advancement Events Team. This position is expected to last six months.
Responsibilities
- Assist the Office of Advancement Events Team with short-term, long-term, and ad hoc projects.
- Support in‑person, virtual, and hybrid events.
- Learn the online event registration system, Cvent.
- Assist in organizing event planning meetings, including reserving space, updating and distributing meeting agendas, notes, and other materials.
- Support event logistics, including ordering, packing, and shipping event supplies and printing materials such as nametags, briefings, and registration lists.
- Provide onsite assistance at events, as requested.
- Utilize Phoenix, the alumni database of record, to look up, track, and report on event‑related data.
- Create basic event briefings and event-related communications.
- Support the Events Team with invoices and vendor payments, expenses, and budget tracking.
- Provide pre‑event in‑office support and perform other administrative duties as required.

Education, Experience, or Certifications
- Education: Bachelor’s degree required.
- Experience: A minimum of one year of event support and coordination experience preferred.
Technical Knowledge or Skills
- High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.
- Proficiency working with event registration platform Cvent preferred.
- Familiarity with Salesforce preferred.
Working Conditions and Physical Requirements
This position is currently expected to work a minimum three days per week in the office. Some evening and weekend hours may be required, with advance notice.
