Job summary

Reed Smith LLP is seeking a detail-oriented Billing Specialist to manage monthly client invoicing and maintain client accounts. The role uses the 3E workflow to generate, proof, and submit invoices while coordinating with attorneys and secretaries on status and updates.

The ideal candidate has accounting experience, familiarity with Elite/3E, and excellent communication skills to handle inquiries and maintain accuracy under tight deadlines.

Job description

Position Summary

This position is responsible for client billing and client account maintenance.

Job Duties And Responsibilities
  • Bill clients monthly for assigned attorneys within the paperless 3E workflow system.
  • Generate and proof invoices for accuracy.
  • Mail, email or electronically submit invoices to clients.
  • Communicate with assigned attorneys and/or secretaries regarding status of monthly billing.
  • Update client and matter information within the 3E system.
  • Assist attorneys and secretaries with inquires.
  • Set up electronic billing as needed.
  • Edit time and cost entries as instructed.
  • Research details of expenses and/or credits on a client's account.
  • Assist with special projects as assigned by attorneys and/or manager.

Requirements

Education: Associate Degree in Accounting or equivalent work experience preferred.

Experience: Prior experience with billing or other accounting function preferred. Experience with Elite/ 3E or other accounting/billing system preferred. Experience in a law firm or other professional service environment a plus. Mathematical aptitude and ability to organize/prioritize multiple assignments, work independently on various projects, and meet deadlines. Knowledge of MS Excel and Elite/3E accounting software. Excellent communication and interpersonal skills, as well as the ability to work with individuals at all organizational levels. Possess a customer focus and have a track record of providing the highest level of customer service. Able to organize and prioritize issues and workload.

Skills: Excellent verbal, written communication and organizational skills. Ability to prioritize workload and to deal with stress within a fast-paced work environment. Must be able to work independently and display a professional manner at all times. Strong attention to detail. Ability to communicate and interact effectively with all organizational levels. Ability to meet weekly and monthly deadlines along with the ability to handle daily requests. Ability to handle multiple tasks on a daily basis and complete assignments within set timelines. Exceptional organizational and time management skills. Must have keen problem-solving and troubleshooting abilities and solutions-oriented thinking.

Supervisory responsibilities: None.

Equipment used: Personal computer and other office equipment such as telephone, calculator, copier, scanner, etc.

Working conditions

You will be required to work in the office at minimum 4 days per week. Occasionally called upon to work hours in excess of your normal daily schedule. The details of your weekly schedule will be discussed further with your direct supervisor.

Pay ranges

This is a non-exempt position. The hourly wage range for this role is $25.48 to $32.96, with an estimated annual compensation range of $53,000 to $64,000, based on expected hours. This represents the presently anticipated pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience.

Pittsburgh/Denver/Atlanta/Dallas/Houston – $25.48 – $27.40 per hour (approximately $53,000 – $57,000 annually based on expected hours)

Miami – $27.17 – $29.23 per hour (approximately $53,000 – $57,000 annually based on expected hours)

Philadelphia – $27.40 – $28.84 per hour (approximately $57,000 – $60,000 annually based on expected hours)

Chicago – $31.31 – $32.96 per hour (approximately $57,000 – $60,000 annually based on expected hours)

Princeton/Washington, DC – $29.32 – $30.76 per hour (approximately $61,000 – $64,000 annually based on expected hours)
